**Job Title**: RECEPTIONIST & BUSINESS SUPPORT
**Reporting to**: BUSINESS SUPPORT MANAGER
**PRIMARY RESPONSIBILITIES**
- **Meet & greet visitors** - Visitor’s inductions & parking instructions/permits
- **Management of meeting rooms** - Including refreshments for visitors, meetings etc.
- **Switchboard** - Handling telephone enquiries, answering phone, screening, diverting & taking messages
- **Incoming post** - Opening, logging, scanning, publishing and distributing
- **Outgoing post** - Including ensuring the franking machine is charged & maintained
- **Outgoing deliveries** - Arranging couriers
- **Management Meeting Minutes and Agendas** - Updating, distributing and publishing on Workspace
- **Hotel bookings**:
- **Project Admin** - Update & issue of the monthly current project list
- **Supply Chain** - Setting up companies on Workspace
- **Supply Chain** - Chasing insurances
- **Supply Chain** - Updating Workspace & requesting references & SSIP certificates at PQQ stage
- **Contracts / Warranties** - Scan, record & monitor
**SECONDARY RESPONSIBILITIES**
- **Stationery** - Ordering supplies for office & site, managing & recording the monthly expenditure
- **Maintaining staff refreshments stock** - Including daily cleaning & refilling office machines
- **Maintenance of Reception, Break-Out Area & Meeting Rooms** - Opening & closing of Reception at the start and end of each day, ensuring areas are kept in a presentable & professional manner
- **Fire alarm **- Weekly testing
- **Incoming deliveries** - Checking & signing for deliveries, maintaining the log & advising staff
**COVER DUTIES (AS REQUIRED)**
- Assisting members of the Business Support Team and other departments as required
- Other routine duties as required to meet the business needs
**SKILLS & EXPERIENCE REQUIRED**
- Positive, friendly attitude
- Working knowledge of Microsoft Office
- Able to meet deadlines
- Attention to detail
- Strong level of written & verbal communication skills
- Ability to work well in a team & individually
**Job Types**: Full-time, Permanent
**Salary**: £18,000.00-£22,000.00 per year
