Prep School Receptionist

We are looking for a Prep School Receptionist to be the first point of contact for all parents and visitors to the school and in doing this, to provide a professional, helpful and friendly face of the school. To work within the administration team at the Prep School and to liaise with all elements of the school community thereby ensuring the smooth day to day running of the office.
The role is a full time role from 8am until 4pm, Monday to Friday, Term Time (34 weeks)
**Overview**
To be the first point of contact for all parents and visitors to the school and in doing this, to provide a professional, helpful and friendly face of the school. To work within the administration team at the Prep School and to liaise with all elements of the school community thereby ensuring the smooth day to day running of the office.
**Main Responsibilities and Tasks**
- To work and communicate with all elements of the school including teaching and education
staff, HR, finance, estates and catering to ensure the school runs efficiently and effectively.
and messages and to act on or pass these on where appropriate.
- To provide pastoral care and attention to pupils where required and appropriate within the
role.
- To oversee the registration data of pupils by maintaining the list of daily pupil absences and
future pupil absences on iSAMS, contacting parents where necessary, informing the relevant
staff as appropriate and providing the senior management team with required information.
- Deliver outgoing post daily to senior school reception for franking and to collect incoming
post each day from the senior school staffroom to distribute to the relevant staff.
- Ensure that school visitors are signed in and out effectively by welcoming them, signing
them in, notifying relevant staff, issuing badges and keeping the relevant stationary and
equipment for this up to date.
- Prepare or organise refreshments for prospective parent and other meetings.
- To communicate and coordinate appointments for Parent Consultations and to support the
administration of events such as school trips.
- To be responsible for the tidiness and cleanliness (with the domestic staff) of the reception
and entrance areas.
- Provide back-up for phone calls for Westonbirt Senior School.
- Assist other members of the admin team wherever possible e.g. mass mailing, photocopying,
data input.
- Events - send out invites and create/update spreadsheets showing attendance lists.
- To co-ordinate the fire list in liaison with the designated Fire Officer.
- Print year, tutor and house lists for staff room and other purposes and keep lists up-to date
when new pupils join or leave throughout each term.
- Record the daily extras billing (teas and clubs) on a spreadsheet and submit to the bursary
on a weekly basis.
- Attend to the needs of the children as required for First Aid and dispensing of medicine in
accordance with training which will be provided.
**Person Specification**
**Skills**:
- Excellent communication and organisational skills with strong attention to detail and accuracy
- Ability to manage multiple tasks and deadlines through prioritisation and organisation.
- Good literacy skills to prepare correspondence and maintain records to a high standard
- Confidence and ability to work with a wide range of people with varying ages, roles and
relationships with the school.
- Excellent Microsoft 365/ Office skills.
- A knowledge of ISAMS is desirable but not essential.
- A peadiatric first aid certificate is desirable but not essential
Experience
- Experience within a school environment and the independent sector is desirable but not
essential
- Experience working in an administrative role is essential.
