**THE VAUXHALL PRACTICE**

**JOB TITLE**:RECEPTIONIST

**REPORTS TO**:THE PRACTICE MANAGER

**PAY (STARTING RATE)**: £10.42 (per hour)

**Overview**

**The hours required include;**

Tuesday: 08:00 - 16:00

Thursday: 08:00 - 14:00
- (Subject to minor changes, sickness and holiday cover as required)_

**You should be**:
**Job Summary**:
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

**Responsibilities**:
1. Administration

i) To have a thorough knowledge of all practice procedures

ii) To work in accordance with written protocols

iii) E-mail and photocopy as requested

iv) Scanning hospital letters in the patients’ medical record

v) Sorting and Filing documents relating to reception

vi) Process forms

vii) Process medication changes as advised by a doctor

viii) Ensure computer summaries are printed for house calls and routine enquiries

2. Reception

i) Receiving patients consulting with members of practice team

ii) Receive and make telephone calls as required

iii) Enter requests for house calls into the day book recording all the relevant details and where necessary refer to the duty doctor

iv) Handing completed repeat prescriptions to patients, in accordance with Practice guidelines including checking names and addresses

v) Process appointment requests for today from patients by telephone, in person or via Klinik and future appointments on the instructions of the doctors

vi) Sort all incoming patient records and distribute for summarising

vii) Register new patients as required

viii) Complete templates for birth and post-natal care

x) Be able to cover all reception positions as necessary

3. Other Tasks

i) Clear work stations after use to comply with covid-19 risk assessments

ii) Ensure building security have thorough knowledge of doors/windows/alarm

iii) Any other tasks allocated by the practice manager or her assistant

4. Confidentiality:
In the course of seeking treatment patients entrust us with and allow us to gather sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.

In the performance of the duties outlined in this job description the post holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential.

Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

5. Health and Safety:
i) The post holder will assist in promoting and maintaining their own and others health safety and security as defined in the practice Health and Safety Policy, to include:
ii) Using personal security systems within the workplace to practice guidelines

iii) Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks

iv) Making effective use of training to update knowledge and skills

v) Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards

vi) Reporting potential risks identified
