**About the Trust**

Kent & Medway NHS & Social Care Partnership Trust is a Mental Health Trust and, given the nature this post, may include exposure to distressing information and circumstances

**What you’ll be responsible for**:

- Provide a full secretarial and support service to the Chief Pharmacist and other Pharmacy Team members, ensuring that the work is completed according to the standards and timescale set, as follows:

- Type minutes, policies and protocols, and correspondence from draft.
- Design and produce forms, departmental procedures, etc.
- Maintain spreadsheets and databases including general staff information
- Deal with telephone queries.
- Sort, process and distribute incoming and outgoing post.
- Organise and develop relevant filing systems.

**You’ll learn the following whilst working at the trust**:

- An in depth understanding of the roles and responsibilities involved in working within the NHS.
- Knowledge of the systems used, to effectively complete your role to the highest standard at all times.
- A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.

**You’ll have the following skills/experience**:

- Previous secretarial/PA experience
- Excellent organisational skills
- Excellent communication skills
- Excellent telephone manner
- Microsoft Office package knowledge e.g., Outlook, Word, Excel

- Transcribe and distribute meeting minutes, memos, and other documents
- File and organize paperwork, both physical and electronic
- Provide administrative support to office staff and management
- Assist with scheduling appointments and maintaining calendars
- Proofread documents for accuracy and completeness
- Handle basic bookkeeping tasks using QuickBooks
- Enter orders into the system and ensure timely delivery
- Provide customer support and address inquiries or concerns

Qualifications:

- Previous experience as a secretary or in a similar administrative role preferred
- Knowledge of office procedures and equipment
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational skills with the ability to multitask and prioritize tasks
- Excellent communication skills, both written and verbal
- Attention to detail and accuracy in work
- Ability to maintain confidentiality of sensitive information
- Familiarity with medical office procedures or dental receptionist experience is a plus

**Job Types**: Part-time, Temporary contract
Part-time hours: 15 per week

**Salary**: £11.67 per hour
