BACKGROUND

SKOLA English in London offers English language courses and activity programmes to learners of all ages in London. The schools are accredited providers under the Accreditation UK (British Council) scheme and members of English UK.

AIMS OF THE POST

The activities coordinator is a key member of the summer school team. The principal role is to ensure the delivery of a high quality programme of activities and excursions while ensuring the safety and enjoyment of the students.

HOURS OF WORK

8.45 to 17.00 Monday to Friday

Some weekend work is necessary during the summer school period. The activities coordinator will be expected to work additional hours as necessary in order to ensure the smooth running of the programme. Time off in lieu will be granted as appropriate.

Main location: SKOLA Regent's University, Inner Cir, London NW1 4NS

DUTIES AND RESPONSIBILITIES
- Arrive on time and remain at school for the duration of your contract hours. You must not leave students unsupervised if according to your timetable, you are responsible for them.

**Management**
- Manage a group of activity leaders, assign roles and duties, delegate tasks
- Promote a high standard of work ethics
- Observe staff performance. Carry out observations/ appraisals for Activity Leaders.
- Cover (or find cover) for absent activity leaders if necessary. This includes supervising breaks
- Help with creating the activity programme if necessary
- Hold a daily briefing for staff about the day’s activity to ensure all staff are well informed about their roles
- Help with setting up and closing down of the summer centre
- Prepare a weekly activity rota and a break supervision rota

**Bookings**
- Book entrances well in advance according to the activity programme
- Liaise with places of interest staff re any changes (e.g. in the number of students)
- Book transport for excursions i.e.:

- Provide the bus company with the number of students going on the Saturday excursion
- Book coaches if necessary
- Book taxis for students if necessary
- Buy travel tickets for students and staff for excursions
- Book sports facilities and liaise with the sports facilities staff

**Activity groups**
- Produce daily updated lists for activity groups. Liaise with the students and staff requests to change groups (friendship/kinship groups). Use common sense when dealing with this
- Ensure all activity and teaching staff have the relevant lists
- Display the lists by the reception area before lunch
- Prepare a weekly rota; assign staff to activity groups. Be aware of the necessary staff: student ratio. Inform the DOS about any shortage of staff

**Excursion information**
- Prepare a pack for all staff going on excursion. This pack should contain:

- Itinerary (times, routes, meeting points, etc.)
- Maps
- Risk assessments
- Lists of students
- Booking confirmation if necessary
- Tickets
- Write and distribute a weekly letter about the Saturday excursion
- Go around the classrooms to inform the students about the Saturday excursion and distribute the letter. Go again the next day to ask about who will attend.
- Inform students about Saturday pick up time

**Sport**
- Plan and organise sports and games in Regent’s Park and/or a sports hall
- Arrange booking of sports hall if necessary
- Manage sports equipment and request orders when necessary
- Regularly observe staff during sport activities to ensure the highest standard of the programme.
- Plan and organise activities in case of bad weather. Coordinate wet weather afternoons.

**Arts and Crafts**
- Divide students into art groups
- Liaise with the art teacher and provide assistance if necessary
- Order art materials as requested and approved by the DOS

**Promote the programme**
- Prepare displays and notice boards in common areas (where students and parents can see) of the school to promote the activities programme and raise awareness and expectations of the students
- Change displays weekly

**Staff and student induction**
- Help coordinate placement testing on Monday morning
- Lead/ assist in the induction of all new students
- Participate in and lead staff induction

**Pastoral**
- Be aware of the different levels of welfare provision and needs (e.g. accompanied v. unaccompanied children, homestay v. own accommodation)
- Liaise with Principal, DOS, parents/guardians, administrative and welfare personnel over welfare/discipline issues arising (e.g. behaviour issues)
- Be alert to issues of safeguarding child protection ensuring that the welfare and safety of children attending the school is promoted and safeguarded and to report any child protection concerns to the Principal/ Director of Studies
- Report any strange behaviour on the part of your students to DOS/ADOS/other colleagues, particularly if abuse or bullying of any kind are suspected.
