As a Purchases & Logistics Assistant, you will play a pivotal role in our office, working closely with the warehouse team and overseeing daily operations. Your responsibilities will include Strategically plan and manage stock and material purchases, process declarations for all imports, order processing, monitor stock levels and conduct regular stock checks, achieve targets and support driven growth, maintaining records, and providing essential support. Fluency in English and Spanish is essential due to the nature of our business.

**About you**:
Please note that **having your own transportation and a full driving license is essential** as there is no public transportation available to commute to the Business Park.

**Your key responsibilities**:
**Order Processing**:

- Use our in-house system for accurate order processing, including label booking and invoice generation.

**Purchases**:

- Strategically plan and manage stock and material purchases from all Iberica suppliers to ensure demand is met without overstocking or under-ordering.
- Monitor stock levels conducting regular stock checks and identifying purchasing needs.
- Coordinate and work with warehouse team to check and compare the quality and quantity of purchases against orders.
- Report issues with orders, including non-supplied, under-orders, over-orders, and damaged goods.
- Monitor markets for timely purchasing opportunities, leading to savings in the department.
- Research and approve new suppliers based on Iberica’s internal procedure for continuous product range enhancement and new projects.
- Negotiate contract terms, agreements, and pricing with suppliers.

**Logistics & Imports**:

- Handle unexpected events, offer solutions, and resolve supplier or logistics partner issues.
- Ensure proper documentation for importing/exporting goods is received from suppliers.
- Process declarations for all imports.

**Record Keeping**:

- Maintain up-to-date documentation for annual SALSA audits, including technical sheets, analytics, supplier audit certificates, etc in our internal database.
- Keep accurate records of supply chain documents such as packing lists, shipping notes, CMRs, and temperature logs.

**Personal Performance**:

- Establish and review weekly performance targets to ensure they are met.

**Principal Accountabilities the Supply Chain & Logistics Assistant will be responsible for**:

- Provide day to day transactional support service to the business.
- Research potential suppliers and conduct supplier evaluations
- Facilitate and support Supplier Approval Process.
- Compare & evaluate quotations / offers from suppliers and negotiate better prices.
- Create purchase orders (suppliers, quantities, prices).
- Update internal databases with order details (dates, suppliers, quantities, discounts).
- Maintain update records of purchased products, delivery information and invoice payment release.
- Expedite Track orders and ensure timely delivery.
- Follow up with suppliers, as needed, to confirm or change orders.
- Liaise with warehouse staff to ensure all products arrive in good condition.
- Collaborate with warehousing staff to ensure proper storage.
- Stocking levels minimum order levels and reorder quantities.
- Monitor stock levels and identify purchasing needs.
- Purchase to Pay process (three-way PO/GRN & Invoice matching).
- Process RMA (Return Material Authorisation). Create, monitor, track and chase Customer / Supplier Returns through the NCR Process.
- Management of supplier part data on Data Base (supplier codes, prices etc.)
- Communicating delivery amendments to the business and updating Data Base.
