Apprentice Administrator

The Apprentice will work in a busy GP practice and will be enrolled on the business administration apprenticeship level 3 with clinical coding, with PMA Ltd. In-house training and on the job, training will be offered. The role is a great opportunity to start your NHS career. Role will include administrative tasks, corresponding with patients, supporting reception staff and supporting clinical staff.

**What will the apprentice be doing?**

The Apprentice will support the multi-disciplinary team, providing administrative support as required, in line with the needs of the organisation, accurately input clinical coding data on Emis and Docman into the patients record.
- Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed actions/tasks, forwarding to relevant clinical staff as needed.
- Inputting and extracting data as required to support practice reports.
- Scanning, Tagging, Filing, Summarising, Re-coding and storing Lloyd George records as required, and pairing notes with additional sets received.
- Registration of new patients, ensuring that they are within the practice boundary and that all registration details are completed.
- Photocopying documentation as required.
- Scanning patient related documentation, attaching scanned documents to patients’ healthcare records, and delegating appropriate scanning to reception.
- Actioning shared care agreements by allocating them to the appropriate GP, scanning the document and coding it onto the system.
- Scanning, re-coding and sending reminder letters for diabetic eye screening.
- Inputting data into patients’ healthcare records as necessary.
- Answering incoming telephone calls, transferring calls or dealing with the caller’s request appropriately.
- Using AccuRx to communicate with patients and allocating requests to the appropriate person.
- Carrying out system searches as requested.
- Maintaining a clean, tidy, effective working area at all times
- Supporting all clinical staff with general administrative tasks as requested.
- Review and update the practice coding policy as required (in conjunction with the practice manager).
- Partake in audit as directed by the practice manager.
- Support reception staff, providing cover during staff absences.
- Any other tasks that may be required to support the practice.**What training will the apprentice take and what qualification will the apprentice get at the end?**
- The successful apprentice will be enrolled on the Business Administrator Apprenticeship Level 3 with Clinical Coding embedded with PMA Ltd
- The apprenticeship will be a work-based apprenticeship and the learner does not attend college but completes the apprenticeship whilst in the workplace
- In-house and on the job training available with additional courses available through our ICS
- Functional Skills in English and maths if required

The practice formed in 1955 and merged with a neighbouring practice in 2017. It has been located in this building since 1996.
