**The Role**:
The Estates Co-ordinator will work closely with the Bursar and Maintenance Manager to ensure high quality delivery of estate related services including, but not limited to, site services, grounds, security, health and safety, sporting facilities, residential properties, and other estate services such as housekeeping and transport.

Working with the Maintenance Manager, they will assist with the organisation of teams and buildings to ensure the buildings and services meet the needs of all pupils, staff, and visitors, and that a safe environment is maintained at all times. The Estates Co-ordinator will ensure that all estates and facilities related matters meet expectations and legislation / regulatory requirements and is responsible for the day-to-day management of the grounds staff, caretaker, and housekeeping team.

The role-holder will need to be flexible in order to meet the ever-changing needs of the school as well as supporting the development and delivery of the school strategic plan.

**Responsibilities**:
Monitor compliance with legislation including, but not limited to electrical compliance, COSHH, asbestos, fire, legionella, waste management and disability access.

Manage the school risk assessment framework - ensuring that risk assessments are in place and regularly reviewed, in line with the appropriate guidelines and statutory requirements.

Oversee the review and update of relevant policies, in line with ISI requirements.

Tracking of general maintenance and specific project spends, and management of budget.

Line management of the grounds staff, caretaker and housekeeping team, including the planning, and assigning of tasks and monitoring of work undertaken.

Carry out routine maintenance tasks as required.

Assist in grounds / maintenance projects during the holiday period.

Assist the Maintenance Manager in obtaining tenders and quotes.

Assist the Maintenance Manager with the organisation of contractor visits and access arrangements, ensuring that necessary supervision is in place.

Maintain all contractor records for new / potential contractors prior to any work commencing.

Day to day co-ordination of the facilities support for school events to ensure the right resources are available and cleared away after such events.

Act as the School Transport Manager to ensure regulatory minibus compliance (s19), maintenance and management of school minibus and any other vehicles.

Assist in the preparation and production of papers for H&S and Building & Estates Committee.

Assist in the development of a Strategic Estates Management plan, in line with guidance from GEMS (Good Estate Management for Schools), utilising the quinquennial building survey.

Implementation of planned maintenance, decoration, repairs and refurbishment programme for building, plants, and machinery.

Support the Bursar in supplier contract review to ensure / improve value for money

Act as Fire Safety Officer and ensure that equipment and systems are functional, fire safety is promoted, and annual fire risk assessments are carried out.

Manage and maintain accurate maintenance records, annual schedule of service contracts, and production of comprehensive ‘holiday work’ schedules.

Point of contact for staff for all estates and facilities related requests.

Oversee school security measures. Supporting the Bursar to ensure robust arrangements are in place to respond effectively to maintenance problems, security issues, emergencies, or other call outs outside of core school hours.

Ensure systems are in place for effective monitoring, measuring, and reporting of health and safety issues to the Bursar, SLT and Governors.

Undertake regular site walks with the Maintenance Manager to determine areas of development.

Furthermore, in order for Beachborough to remain at the forefront of ‘best practice’, new responsibilities may be added in the future following discussion with the post holder.
