A Project Administrator is needed for a varied role, within a Social Care and Health, Children’s Services team. This is a part-time role for 30 hours per week.
You will have good attention to detail, be a team player with a good phone manner.
This role is hybrid working, with 4 days per week, initially in the office in Usk whilst training then a mix of home and office in the week.
**Key Responsibilities**:
- Responsible for storing information correctly e.g. file management of paper and electronic notes and records
- Gather information and copy to respond to Data Protection Subject Access requests (DSARs)
- General minute taking as requested ie: strategy meetings, which very occasionally may include travelling to meetings across and outside of the County
- Responsible for administrative tasks e.g. photocopying, scanning, printing, room bookings, transport and hotel bookings etc.
- Data base validation, reporting and updating databases as we move from one system to another
- Booking meetings, diary management and sending meeting invites and corresponding minutes
- Responsible for maintaining supplies and stock control (e.g. Stationary)
- Conduct timely “file audits” to ensure that Children’s files have appropriate documentation prior to transfer to the next team
- Ad hoc administrative tasks to meet service requirements as requested
- Petty cash and recording transactions in line with the process.
- Recording and monitoring the distribution of the cash expenditure within the serivce.
- Support colleagues to monitor and validate all financial information (e.g. Financial Schedules)
- Liaison with finance and suppliers to ensure smooth new user set ups and payment of invoices to ensure timely set up of accounts
- Purchase card transactions, receipts and ensuing liaison with purchase card holder and budget authoriser

**Qualifications**:
- The possession of the European Computer License (ECDL) or equivalent
- Must possess GCSE English or equivalent level / ability of literacy
- Must possess GCSE Maths or equivalent level/ ability of numeracy
**Skills & experience
**- Recent and relevant experience of working within an administrative environment.
- Experience of organising and facilitating meetings including minute taking and experience of organising diaries.
- Experience of developing and maintaining administrative systems
- Have experience of managing systems and data for record keeping, collation of information and statistics.
- Recent experience of working within an office in a fast paced environment undertaking varied tasks admin and customer related tasks
- Exception level of IT literacy and capability
