We are looking for a friendly and motivated Appointments/Clerical Officer to provide efficient and effective support in delivering a high quality service to patients. You would be joining our friendly team within the Podiatry & Orthotic service, working from Port Talbot Resource Centre.

The post holder will require to have excellent communication skills, have a positive and flexible approach, be able to adapt to the continuous changes of the service and also enjoy working as part of a busy team.

The role will involve providing administrative support such as the processing of clinic changes, the correct recording of patient pathways, the retrieval, preparation and filing of patient notes as and when required. To deal with telephone calls from members of the public, in a confidential and professional manner.

Responsible for the day-to-day administration support of the Service.

Provide a confidential administrative and reception service to the of the Service.

Updating of electronic and paper-based systems, collating of information, mail distribution etc.

Participate in CPD and develop skills and knowledge through participation in Health Board Education Programme and other developmental activities.

Act as first point of contact for of the Service.

Provide an efficient reception service if required, ensuring the reception desk and telephones are attended continuously during normal working hours.

Receive and process routine and ad hoc information appropriately.

Ensure the outpatient administration and appointment system run smoothly and effectively.

Communicate messages accurately and in a timely manner, recognising different requirements for dealing with routine and urgent messages.

Liaise with colleagues as appropriate.

Liaise with line manager to ensure efficient/effective administrative/reception support.

Registration of new patient referrals using computerised systems. Ensure records are kept up to date.

Ensure all administrative duties are carried out for all procedures within the Department to agreed timescales and standards.

Deal with telephone calls from members of the public and staff, in a professional manner.

Communicate with patients, relatives and other departments either by telephone or in person, giving consideration to patients and relatives in a sensitive and appropriate manner.

Ensure that written /electronic records and activity data are accurate, up to date and maintained in accordance with Professional and Health Board standards.

Prioritise day-to-day routine tasks to ensure that the service is not compromised and deadlines are met.

Ensure clinical records are available as requested for team members.

Provide accurate activity information to the Service Manager and others who need it.

Ensure that photocopying, filing and mail management is completed to meet needs of service.

Maintain accurate records and confidential filing systems relating to patient records and correspondence.

Aware of personal levels of competency and the ability to recognise need for guidance when appropriate.

Action all Medical Legal requests in accordance with GDPR
Patient / Client Care.

Ensure referrals are appointed within agreed criteria.

Assist in waiting list management as directed by line manager.

Liaise with other departments both internally and externally in relation to patient appointments/referrals/demographics and tracking of medical notes.

Track medical records on WPAS/Welsh Clinical Portal system, Pims+ C and request notes from medical records if required.

Deal sensitively with patients with potentially high levels of anxiety and aggression caused by waiting times and other factors.

Act as first point of contact for personal, written and telephone enquiries from patients, relatives, consultants, GPs and other healthcare staff, assessing the validity and priority of that contact, taking action where
