To be responsible for undertaking a wide range of secretarial, administrative and reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. You are required to represent the clinic as professional, courteous, approachable and helpful at all times towards patients and visitors to the Practice.

Responsible for the processing of information (electronic and hard copy) in a timely manner and in accordance with current policies, including the use of the Docman. To understand the sensitivity and confidential nature of clinical services and maintain the best standards within our Practice.

Acting as a central point of contact for patients and the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers. To work as a team managing calls, front desk enquiries and the day to day administration of a busy GP Practice. Time management and the ability to work under pressure yet remain calm is essential for the efficient and smooth operation of the Practice.

The Practice is open from 8 am - 6.30 pm and you will be required to work at all Practice locations - Monday to Friday on a rotational basis to ensure that appropriate Patient Advisor cover is available during the Practice opening hours.

The following are the core responsibilities of the Patient Advisor. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
1. Maintaining and monitoring the practice appointment system, including the e-requests for appointments via the website dashboard and online consultation.
2. Signpost patients to the correct service through care navigation.
3. Process personal, telephone and e-requests for appointments
4. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
5. Processing incoming and outgoing mail, action all incoming faxes and photocopy documentation as required
6. Process calling letters as requested
7. Data entry of new and temporary registrations and relevant patient information
8. Patient tutorials during registration process on how to use patient access, website and online consultation
9. Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
10. Process referrals to external agencies such as secondary care
11. Input data into the patient’s healthcare records, file and store as necessary
12. Action GP2GP tasks
13. Process incoming e-test results, ensuring they are referred to the relevant clinician
14. Read code data on EMIS Web
15. Carry out summarisation of medical records
16. Process medical record deductions
17. Perform QOF recall process
18. Perform failed text process
19. Process Cervical smear results and recall invites
20. Send Childhood Immunisations invites and submit completion data
21. Deal with all administrative queries as necessary
22. Carry out system searches as requested
23. Support all clinical staff with general administrative tasks as requested
24. Process all DNA letters in accordance with current protocol
25. Initiating contact with and responding to, requests from patients, team members and external agencies
26. Manage all queries as necessary in an efficient manner
27. Carry out system searches as requested
28. Maintain a clean, tidy, effective working area at all times and monitor and maintain the reception area and notice boards as required
29. Support all clinical and management staff with general tasks as requested
30. Be flexible in moving between tasks according to demand directed by management team

**Job Types**: Full-time, Permanent

**Salary**: £10.42-£10.50 per hour

Expected hours: 35 per week
