To provide comprehensive HR Administration and Coordination to the HR Department.

*reduced hours or flexible working will be considered.

Location: Stafford

Contract role

**Payroll**:
Responsible as primary interface with GBS Payroll for submission of any changes.
- Update Flex form and forward any changes on a weekly basis to GBS payroll.
- Produce monthly overtime/absence reports; gain Managers/SMT authorisation in line with delegated authorities. Update flex form with authorised overtime and forward to GBS.
- Produce euro leave calculations, update flex form and forward to GBS.
- Ensure any advanced payments GBS have paid are captured on the flex form and forwarded to GBS.
- Leavers: GBS to be advised of anyone in the Childcare scheme, PC Scheme, Salary Sacrifice for Cars, Will writing etc. Liaise with Tusker.
- Payroll Extract Comparison Report; highlight any discrepancies for review and authorisation by approved OBU signatories.
- Work to GBS payroll deadlines for authorisation.
- Maintain local OBU payroll records and back up paperwork in support of finance audits.

**HR Administration and Support**:

- On site presence - handling high level of footfall in the office with general queries.
- Absence: Support the HR team with absence management; absence calls, manager notifications and update of the relevant systems. Produce monthly sickness absence reports.
- Salary Reviews: Support with administration of annual salary reviews and processing
- Timesheet approvals: Check contractor timesheets against ERP report on a weekly basis for review and authorisation by line managers. Forward authorised sheets to relevant agency/contractor. Ensure IFS T&A balances to ensure accuracy of timesheets.

**General**:

- Produce any letters for staff with regards to deductions from payroll.
- Complete HR Filing/maintenance of filing system and archiving
- Support HR with review and interpretation of policies in line with best practice.
- Use IFS document management and confluence as required.
- Support the HR team with answering staff queries to general policy questions, benefit questions and oversee of askhr during absence.
- Liaise with GBS payroll in relation to annual P11ds and PSA agreements.
- Responsible for the annual system testing in preparation for the enrolment window in line with Head Office requirements.
- Ensure renewal/completion of annual flexible benefits.
- Check new starters benefits have been calculated correctly and processed correctly by GBS.

**Learning and Development**:

- Coordinate and organise Learning and Development (L&D) in line with Company procedure. Raise purchase orders with Procurement and liaise with suppliers as required to book and coordinate training for the OBU. Maintain systems, filing and all certificationfor audit.
- Support the HR team with chasing mandatory training for the OBU.

**Health surveillance**:

- Support QHSE with the coordination of health surveillance
- Collate and file and follow up actions.

**Systems**:

- Responsible for the maintenance and update of ERP system within HR, work with IT to provide best practice solutions. Set up new schedules & rules when required.
- Maintain Time and attendance records for all employees and contractors, recording absence information.

**HR Ops**:

- Member of HR Ops team, supporting processing of tasks within myHR for OBU and maintaining of mHR accurate data for OBU.

**Qualifications**

**Knowledge, Skills and Experience**:
**Required**:
Previous HR/Payroll Administration experience within a SME business

**Qualifications**:
Minimum GCSE grade of A*-C (9-4) in Math and English

**Specialist training required/Application specific training**:
N/A
