**JOB TITLE: Site Lead**

**REPORTS TO: Operations Manager**

**HOURS: 37.5 hours per week**

**SALARY: Between £25,000 and £30,000 gross per annum DOE**

The role will be a full time role based on 2 sites: Lincoln House Surgery in Apsley and a branch in Highfield. There will be 2 Site Leads so you will share responsibility for both sites with another person.

**Job Summary**:
This role is to provide excellent site support within the management team of this organisation.

The role of the Site Lead requires a self-motivated, disciplined individual to take ownership of the efficient day to day running of the practice site. Supporting the business and operations manager working as a key member of the management team.

**Job responsibilities**:
**Site Management**
- Ensuring the day-to-day smooth running of the practice site.
- Dealing with and logging all estate and facilities queries and issues that may arise, escalating where appropriate.
- Assist with hardware and software issues, help to log problems with the current IT service desk and escalate where needed.
- Resolving day-to-day issues and queries that may arise, escalating where necessary.
- To offer general assistance to the wider practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
- Responding to any queries or problems that the wider practice team may have and managing their expectations.
- Maintain effective communication between practice teams to ensure a high standard of information flow within the practice.
- Ensure that monthly checks are undertaken on the practice emergency drug box and first aid boxes and any missing items are replaced.
- General premises checks
- General Health & Safety checks
- Assist with the maintenance of and compliance with CQC regulations
- Manage all deliveries to the practice, ensuring adherence to the cold chain policy as necessary.
- Act as building fire Marshall, ensuring evacuation lists are current and that the visitors log is used appropriately, weekly fire safety checks and tests if appropriate.
- Responsible for overseeing that room checks are completed; equipment and stock is available for all consulting rooms.
- Ensuring that consulting rooms are always kept clean and tidy and notice boards are kept up to date.
- Attending management meeting & discussing any issues that may arise, disseminating any updates to the team.
- Weekly stock takes of office supplies, ordering once the minimum limit has been reached.
- To undertake a variety of administrative duties to assist in the smooth running of the practice.
- Any other task deemed reasonable that would be required for the day to day running of the practice site.

**Line Management - Reception/Admin Team**
- Line management of the reception team
- Be responsible for the day-to-day supervision of reception and associated functions ensuring they are carried out in accordance with agreed procedures, protocols, and time scales. Resolving issues and queries that may arise, escalating where necessary.
- Act as a role model to the surgery’s team, supporting, motivating, and promoting staff relations.
- Ensure adequate staffing levels: organise daily rotas.
- Approving, recording, and coordinating annual/sick/other leave as appropriate and ensuring correct reporting procedures are followed by staff in line with agreed policy’s.
- Ensuring the reception team are always up to date on e-learning, and set times are given to staff for these to be completed.
- Appraisals and performance management of the reception staff including monthly meetings and disseminating this information.
- Leading, monitoring, motivating, and inspiring the team; providing guidance and support. Giving regular feedback, both positive and negative to the wider management team.
- Identifying development needs
- Identify and deliver team training where required.
- Ensuring the Petty cash system is followed, all incoming and outgoing transactions are correctly logged, cash and receipts are kept safe and handed to the Finance administrator in the agreed time frame.
- Monitoring of card payments machines, ensuring settlement receipts arrive daily. Escalating to the finance manager where appropriate.
- Dealing with and resolving complaints escalating them to the Operations Manager when required
- To undertake a variety of administrative duties to assist in the smooth running of the practice, including supporting the reception team when required.
