We are seeking to appoint a part-time **Performing Arts Secretary** to provide support to the Music, Drama and Dance departments. This is a part-time, permanent position, working 20 hours per week during the school year.

The overall focus of the Performing Arts Secretary is to provide administrative support to the Music, Drama and Dance departments. The post-holder will work closely with members of the Performing Arts team (Director of Performance Studies, Director of Music, Head of Drama and Head of Dance). Outstanding administrative, planning and interpersonal skills are required for this varied and interesting role.

**Main Duties**
- Provide administrative support to the Director of Music, Head of Drama and Head of Dance to ensure the smooth day-to-day running of the Performing Arts faculty.
- Assist in ensuring that classroom, practice and performance spaces are prepared for the teaching day.
- Manage an accurate timetable and registration system for all peripatetic music, drama and dance lessons. Where necessary, locate pupils and remind them to attend lessons.
- Liaise with the Bursary on a termly basis with regards to the accurate billing of peripatetic tuition.
- Communicate with parents for any billing/charging enquiries and issues, as and when required.
- Register and administer ensembles and rehearsals.
- Assist the Director of Music, Head of Drama and Head of Dance to enter pupils for internal and external assessments and ensure the assessment day runs smoothly.
- Provide administrative support to the Heads of Department (Performing Arts) in connection with any concerts, showcases, events and open days, as and when required.
- Take responsibility for the administration of external events/trips including sending out and collating permission and medical forms, collecting money, sending out tickets, organising seating plans, etc.
- Proofread documents, newsletters, marketing materials and reports
- Assist in the management of the Performing Arts social media accounts
- Photocopying, printing and management of the sheet music library, as directed by the Director of Music.
- Reporting on participation and achievement, as and when required.
- Any other administrative tasks, as required by the Heads of Department (Performing Arts).

- To actively promote the school at all times
- To behave professionally when talking to parents
- Always respect the confidentiality of school matters and should never discuss individuals with anyone other than a member of staff
- Report any concerns about a child’s progress or welfare
- To ensure that all parents, children and visitors are always made welcome to the school. This is particularly important at the start and end of the school day when any problems can be discussed and dealt with immediately
- To ensure all health and safety procedures are strictly adhered to at all times
- Applicants should be committed to the safeguarding and promotion of the welfare of young people. They should demonstrate this commitment in every aspect of this post. All staff are required to adhere to and ensure compliance with the School’s Safeguarding Policy at all times. You are required to report any safeguarding or child protection concerns to your line manager or the School’s Designated Safeguarding Lead (DSL)._
