Hawthorn Accountancy provides bookkeeping, accountancy and payroll processing services.

The main duties this postholder will be responsible for are:
Reception duties including greeting clients and visitors, answering telephone.

Sending letters of engagements to clients and get all relevant documents required.

Look after all software used by the business, including setting up clients, updating client records with jobs, Anti Money Laundering information, ensuring all databases used are holding the same correct data. Create physical and digital files for clients and maintain daily.

Run checks on all new clients in order to comply with AMLR.

Ensure all necessary authorisations are applied for from HMRC and Companies House.

Maintain SharePoint data and update as required.

Writing and running reports and spreadsheets from the various databases to enable the staff and owners to maximise productivity.

Liaise with staff that the “back office” system is always up to date and has the correct information for staff to record their time and clients to be invoiced.

Run staff time reports weekly, make any adjustments to staff timesheets and update holiday records. Updating staff spreadsheet and summarise for monthly staff payroll.

Support payroll clerk by processing weekly and monthly payrolls as required.

Work with health & safety officer to ensure risk assessments are recorded and updated when required. Ensure health and safety is maintained on a day-to-day basis.

Scanning incoming mail and previous years accounts and payroll data for current and inactive clients. Filing scanned documents in clients SharePoint file and update the company archive directory. Monitor archive directory to identify files that can be destroyed.

Support staff with any minor IT issues they may have.

Monitor stationery levels and order when required.

Monitor confidential waste and cardboard recycling and arrange collections, as necessary.

Printing, photocopying, refreshments for clients/visitors and any other administrative support to the team as required.

**Salary**: £9.00-£10.00 per hour
