Overview:
To provide a welcoming, positive and efficient reception for all who enter and communicate with Kyowa Kirin. Provide support to the Facilities Team and all KKI colleagues.

**Responsibilities**:
To ensure that the reception area portrays appositive image at all times:

- Ensure reception is covered at all times (especially during holiday periods) and kept clean and t
- Ensure that every phone call is handled in a courteous and professional manner and that all visitors are appropriately attended to
- Liaise with cleaners (verbally and written communication) to ensure the office cleaning is maintained to the highest standard. Advise cleaners of any daily requirements. Report any cleaning issues or concerns immediately to the Associate Director Real Estate.
- Co-ordinating parking availability, security passes and the booking in of visitors and clients
- Monitor the condition of office equipment, fittings and fixtures, reporting faults to the Associate Director Real Estate Director and organizing repairs as
- General administration: distributing all incoming mail, arrange couriers, ensure stock levels are maintained, raise purchase orders, check and code facilities related invoices before passing to the Associate Director Real Estate.
- Carrying out appropriate health and safety checks including weekly fire alarm and water/ shower testing and
- Conduct office orientation for all new joiners ensuring all requirements are fulfilled including staff photo ID, fire safety
- Act as Fire Warden and to assist the appointed KKI Fire Warden during an
- Support with closing actions from any H&S or fire audit and report back to the Associate Director Real Estate.
- Work with IT to set up meeting rooms with additional seating and tables when
- Provide ad hoc administrative support i.e. arranging lunches, updating the Intranet and supporting on the DHL collections if required.

Qualifications:

- Good working knowledge of Microsoft Word, Excel and PowerPoint
- Ability to work effectively under continuing pressure and possible interruptions
- Working in similar role where an individual has gained experience on the job.
- Ability to be organized and friendly beyond the role of picking up the phone to answer to calls
- Ability to understand and keep to instructions, whether oral or written
- Proactive and responsive
- Deadline-driven
