**About the Role**:
An exciting opportunity within NHS Suffolk & North East Essex ICB has arisen for an Operations Support Officer, offered on a 12 month fixed term contract, for 37.5 hours per week..

You will actively provide effective and efficient support to the operational hub both in and out of hours, support liaison with professional partners to ensure effective delivery of operational hub functions and support information and data collection from health and care providers to enable timely and accurate data visibility.

The key responsibilities of the role include:

- Follow standard operating procedures for the Operations Hub to enable a universal way of working throughout the team.
- Work collaboratively with the wider team to develop and update the Operations Hub standard operating procedures as required.
- Ensure there is utilisation of a consistent format for key briefings and maintain effective and accessible information systems.
- Provide accurate records of meetings and update logs. Manage actions from meetings that are assigned to the Operations Hub, briefing colleagues on required actions to be completed, securing updates to ensure actions are completed in a required timeframe and to accurate and appropriate professional standards.
- Responsible for scheduling meetings including booking venues for events and sourcing materials required.
- Work with the operational hub team to ensure all meetings are supported appropriately for the Operations Hub, Escalation Team and EPRR.
- Work collaboratively and effectively with peers from across the Integrated Care Board (ICB), to ensure excellence in all aspects of the Operations Hub and Urgent and Emergency Care function characterised by effective communication and liaison.
- Act as an administrator single point of contact with system partners and respond to enquiries from multiple sources, following standard operating procedures within the Operations Hub.
- Ensure the Operations Hub lead is appraised of all necessary information for escalation and for attention, and where gaps are identified source the relevant information to support effective decision making.
- Ensure all relevant information is appropriately logged including during an incident response.
- Maintain Operations Hub and On Call staff rotas.
- Inputting and monitoring reports from computerised systems.
- Deliver accurate communication and coordination with a range or organisations, senior stakeholders and individuals. Research, report and analyse across a range of specialities, functions and projects drafting correspondence as appropriate.
- Provide administrative support to the wider Escalation and EPRR teams.
- Handle sensitive information in accordance with the organisations data protection and information governance policies

- Experience of successfully managing tasks and working with other people to ensure objectives and deadlines are met and quality maintained.
- Excellent time management skills with ability to reprioritise.
- Problem solving skills and ability to respond to sudden unexpected demands
- Skills for communicating on complex information and administrative matters, requiring developed interpersonal and oral/written communication skills
- Experienced at minuting system wide meetings
- Knowledge of the current Health and Care system
- Experience of successfully operating in a politically sensitive environment
- Ability to work on own initiative and organise own workload with mínimal supervision working to tight and often changing timescales.
- Intermediate skills in using Microsoft 365 products.
- Ability to prioritise and respond flexibly to frequent changing demands
- Highly motivated, resourceful and proactive approach.
- Ability to travel routinely within the Suffolk and North East Essex and to travel outside the region, as required, for the role.
- Willingness to work out of hours as part of the Operations Hub rota.
