**Administration Assistant - Milford Haven**

As our new Administration Assistant, you will provide efficient administration and operational support to the Mooring Manager and the Milford Haven operation.

This position is based at Pembroke Dock but from time to time as part of the role you may be required to travel within the UK and to other global locations. This will be a office based role, no option for hybrid working.

**Key Responsibilities**
- Greeting clients and visitors to the office.
- Ensure that incoming and outgoing post is distributed, collected, and posted daily (weekdays).
- Filing and updating of correspondence, electronically and paper based.
- Assist with Marine matters on a day-to-day basis and update the required databases.
- Assist in the completion of the crew payrolls liaising with crew and payroll bureau in line with required deadlines and payroll procedures.
- Maintain the crew’s personnel files and ensure all certification is kept up to date electronically.
- Assist in the process when required to input all operational invoice information into sales database in order to keep an accurate record of work performed, and to facilitate efficient production of sales invoices.
- Collating information and preparing reports for the operation as required.
- Populate spreadsheets to capture data.
- Waste management bookings and record keeping.
- Taking, producing, and distributing of meeting minutes when required.
- Arranging customer/client and staff events when required.
- Receipt in delivery notes as required.

**To be successful, you need to demonstrate**:

- Knowledge of the Marine Industry and Marine Operations. Desirable but not essential.
- 5 GCSEs (or equivalent) at grade C (4/5) including Maths and English.
- NVQ 2/3 in Business Administration desirable
- Excellent interpersonal skills and ability to communicate at all levels.
- Excellent written and oral communication skills.
