Breast & Endocrine Surgery service require a Band 2 Clerical Officer/Receptionist/Call Handler. Flexibility is essential as the service runs across several sites.
Applicants should demonstrate excellent IT/keyboard, communication and organisational skills. You will be required to work well under pressure. We treat high volumes of people daily. Accuracy and attention to detail is essential.
Duties will include dealing with referrals; arranging appointments; reception duties; data entry; telephone enquiries and general office tasks. You need to be able to provide an optimum level of customer service to patients and staff, both in person and over the telephone.
The post holder must be self-motivated and able to work well under pressure.
Experience in the NHS would be preferable, however full training will be given.

Job Summary
To undertake clerical & administration duties for the Breast & Endocrine Surgery service working as a team member to support staff and patients across the service.
To support the Clerical Supervisor & Office Manager in providing an efficient and professional, administrative and clerical service for the Breast & Endocrine Surgery service.
Specific Duties & Responsibilities
Clerical & Administrational
To act as front line Reception for the service, adhering to all Trust and Departmental policies covering all aspects, in a professional manner.
To effectively communicate between staff, patients, carers, other
departments, various companies, solicitors and all other health & social care professionals.
To efficiently sort, distribute, monitor and record all Mail, both in-coming and out-going, across all sites using various methods of transport.
To register patient referrals on Trust IPM system, including initial referral, first appointment, follow up appointments, transfers and discharges.
To implement emergency contingency documentation in relation to computer break down
To arrange and record bookings for Locum and Sign Language Agencies according to Departmental procedure.
To ensure all clinic procedures are correctly followed, recording accurate arrival & departure of patients, the outcome of pathway and the closure of clinic at end of day.
Produce Clinic Lists, patient notes and record clinic outcomes on hospital IPM computer system.
Check patient details adhering to Caldicott procedures and accurately update patient records on Trust IPM as and when necessary.
To accurately record all statistical information both manually and electronically.
To arrange ambulance bookings via the Trust IPM system.
To record and amend clinic sessions/time slots in accordance with Departmental policy for staff Annual Leave / Sickness & Absence.
To comply with all staff Mandatory Training.
To work across sites during staff shortage or exceptional demand for admin. and clerical workforce.
To type basic office correspondence as and when necessary.
Clinical Governance / Quality
To comply with Trust Health & Safety Policies, actively participating in Trust Induction and Mandatory Training.
To ensure all hazards & incidents are dealt with effectively and reported according to Trust requirements.
To comply with the Data Protection Act and Caldicott procedures.
To comply with Trust and Departmental policies and procedures.
Education and training development
To actively participate in own Personal Development Plan and attend all annual reviews.
