SUMMARY

We are looking for an experienced administration assistant and course administrator for a varied role within a small established business to provide administrative support to the Office Manager and Occupational Physicians [Medical Doctors looking after businesses] within a small but busy office environment. You must be able to work alone in the office when required and project a professional company image through in-person and telephone interaction.

RESPONSIBILITIES

Course Administrator duties (training provided):
Assisting with all administrative duties relating to the delivery of remote training courses provided to doctors and nurses. Including:

- Course advertising and promotion
- Assisting with the set up and maintenance of the online learning platform
- Assisting with the smooth running of live teaching sessions via video conferencing
- Collating course feedback from delegates and circulating to course leads and speakers
- Maintenance of customer relationship management system
- Issuing of Course Certificates

ADMINISTRATION ASSISTANT

Support with General Office Administration including:

- Answer telephone and respond to enquiries.
- Meet and greet clients and visitors.
- May be required to act as chaperone when required by clinical staff.
- Create and modify documents using Microsoft Office & Excel, Google Forms.
- Perform general clerical duties to include but not limited to: photocopying, scanning, mailing, shredding and filing.
- Maintain hard copy and electronic filing systems.
- Coordinate and maintain office records.
- Setup and coordinate clinical appointments, meetings and conferences.

KNOWLEDGE AND SKILL REQUIREMENTS

Basic reading, writing, and arithmetic skills required. This is normally acquired through a high school diploma or equivalent.
- Knowledge of Microsoft Office, Excel and telephone protocol. Duties require professional verbal and written communication skills and the ability to type 50 wpm. This is normally acquired through one to three years of clerical experience.
- No previous experience in healthcare is required but an interest in occupational health would be an advantage.

WORKING CONDITIONS

Working conditions are normal for a small, friendly office environment, but you must be able to work alone in the office when required. The office is located on Pelham Road NG5 1AP, on a small business site, with limited free parking.

24 - 32 hours/week, negotiable. Pay is flexible depending on experience and qualifications.

Part-time hours: 24-32 per week

**Salary**: £9.50-£12.50 per hour
