**The Role - Leasehold Assistant**

To help the Regenter B3 meet its corporate objectives by providing administrative support to the Leasehold Services Section.

To carry out customer service activities and leasehold duties as required

**Duties/Key Responsibilities**
- Answer telephone calls, deal with day-to-day queries, record messages and relay them promptly and accurately.
- Carry out all transaction on Academy for transfer of funds and update new leaseholder details.
- Maintain all existing filing systems and set up new systems as appropriate. Ensure that all filing is carried out effectively both electronic and paper files.
- Collect and report on statistical information in relation to the work of the department.
- Respond to solicitor enquires and update and send out all pre-assignment packs
- Carry out resident surveys for the Leasehold section
- Photocopy and distribute information as requested.
- Frank the mail ready for collection or take to post office.
- Help with the setting of service charges
- Income Recovery of service charge and major work bills
- Maintain records of all properties, leasehold or freehold managed by the leasehold department.
- Other general administration duties as required.
- Enforcing Lease Conditions
- RTB inspections to make sure the property is clean and well looked after and the tenant is in situ
- Resolving service charge disputes
- Attend evening meetings and take minutes as required.

**Skills Required**:

- Experience in Customer Services required.
- Complete understanding of Microsoft Office solutions.
- Comfortable in handling complaints.
- A strong desire to provide excellent customer service on each interaction
- Must be able to find advise and solutions for customer queries and provide reliable information
- Must demonstrate team working, customer advocacy and administrative ability
- Must possess strong organisation skills and an eye for detail.
- Must possess strong interpersonal skills.
- Strong sense of ownership, urgency and work ethic
