**Job Purpose**

To work within a small, hardworking and fun team, providing administration support to the centre management team who has the day-to-day responsibility for the management and operation of a busy shopping centre.

**Property Overview**:
Busy shopping centre with over 45 stores, including major national as well as small local independent stores and an annual footfall of over 4 million.

**Communication Lines**:

- Reports to the centre manager.
- Other site colleagues include marketing manager, operations assistant and cleaning/security teams.
- Offsite colleagues include the wider Ashdown Phillips team.

**Key Objectives**
- Provide administrative support to the management team.
- Act as a point of contact for stakeholders including retail occupiers, shoppers, colleagues, site service providers, and others.

**Key Accountabilities**
- Raise purchase orders, process invoices for works and reconcile petty cash as required.
- Liaise with service providers over invoicing queries and disputes.
- Maintain financial spend tracker, to assist the management team in effectively monitoring expenditure.
- Liaise with service providers, retail occupiers and the management team to update on outstanding issues.
- Input meter readings on to relevant systems.
- Facilitate payment of utility invoices and relevant re-charges.
- Assist with site health and safety platform, including loading on statutory compliance documentation, creation and closure of health and safety tasks and facilitation of annual PPM planner.
- Assist with processing and administration relating to insurance claims.
- Process site parking queries.
- Compile reports, as requested by the management team.
- General administration duties, greeting visitors and arranging meetings as requested by the management team.
- Help to maintain the centre’s Honesty Library.

- Experience of administration tasks
- Personable and friendly
- Strong communication skills, both written and verbal
- Self-motivator with good attention to detail
- Good working knowledge of Microsoft 365 to a competent level within an office environment
- Positive, can do attitude
- Flexible and adaptable
- Ability to learn new technology and systems/processes

Pay: £12.00 per hour

Expected hours: 16 per week
