We are looking for an energetic and enthusiastic medical receptionist/administrator to join our hard working and friendly team. Ideally we are looking for someone with previous GP medical receptionist/administrator experience although applicants with transferable skills will be considered. Training will be provided. We offer a generous NHS pension scheme and free on site parking.

Ideally we are looking for someone who can work 20 + hours per week but we may be able to accommodate two part time staff.

**Job Summary**:
To be the face of the practice welcoming patients on arrival, assisting and directing them to their appointments and other health care needs, enabling them to see their doctor or nurse in a polite, courteous, efficient and effective way both via the telephone and face to face.

To assist both Doctors and Nurses to enable them to deliver a first class primary care health service to our patients.

To be an integral member of the practice team providing general administration support across the practice as needed.

**Responsibilities**:
**Administration**
- Pulling, filing patient medical notes for surgeries and updating as necessary.
- Scanning and filing post in patients’ medical records.
- Undertaking photocopying and shredding as needed.
- Support the registration of new patients by preparing new registration packs.

**Reception** **Welcoming patients to the practice ensuring they are kept informed of any changes/delays to the doctors or nurses schedule that may affect them.**
- Issuing completed repeat prescription requests to patient in line with practice protocols.
- Identifying patients that may need assistance and offering them the appropriate support. Calling for a doctor, nurse or the Practice Manager when necessary.
- Issuing new registration packs, highlighting key information and checking completed forms ensuring Out of Area patients are presented the taking on doctor in the first instance.

**Appointments** **Take patient appointment requests over the phone and face to face, identify the most appropriate appointment time and book them in, in accordance with appointment booking rules. ** Cancel appointments when requested on behalf of patients.*
- Move patient appointments when necessary, due to sickness or unforeseen circumstances, identifying suitable alternatives.
- Taking request and scheduling home visits as necessary.

Computer/Telephone Equipment Support the registration of new patients by inputting registration data onto the computer as needed. **Process repeat prescription requests in accordance with practice guidelines. ** Use telephony equipment to ensure the phones are answered as efficiently as possible, providing cover for the practice telephonist when necessary.

Other TasksUndertake a building security check before leaving the building after a late night surgery to ensure all doors, windows are secured appropriate and when last to leave the building ensure alarms are set. **The post holder should be flexible to take on others tasks as and when necessary as requested by a member of the practice management or clinical team.Confidentiality **In the course of seeking treatment, patients entrust us with or allow us to gather, sensitive information in relation to their health and other matters. **Health & Safety**

The post holder will assist in promoting and maintaining their own and other health, safety and security as defined in the practice health and safety policy, the practice health & safety manual and the practice infection control policy and published procedures. This will include:

- Using personal security systems within the workplace according to practice guidelines.
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks.
- Making effective use of training to update knowledge and skills.
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.
- Actively reporting health & safety hazards and infection hazards immediately when recognised.
- Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of
