**Your responsibilities**:
Your role as an Administrative Assistant will combine the admin support of our Training Services activities, as well as ensuring accurate bookkeeping reports for our financial operations.

Training responsibilities:

- Prepare admin documents related to training sales and delivery, including Purchase Orders, Statements of Work or Agreements
- Support the scheduling of training engagements by communicating with our pool of trainers
- Prepare well-formatted PDFs for learning paths, e-books and downloadable documents from content which will be provided to you

Financial operations responsibilities:

- Collaborate with our leadership, bookkeeper, and accountants to produce important financial reports such as profit and loss accounts, balance sheets, cashflow forecasts, and VAT return reports
- Conduct checks and audits to maintain the integrity of our financial data. This includes creating invoices, verifying their accuracy in our accounting system (Xero), reviewing revenues, costs of sales, and expenses to ensure correct accounts, values (including VAT), and currencies are accurately reflected
- Manage invoices from our suppliers and collaborate with the relevant members of our leadership team to validate them. Your attention to detail and accuracy will be crucial in maintaining financial accuracy and strong vendor relationships
- Handle bank statements from different banks and currencies, where you will add commentary to transactions for our accountants. Additionally, you will coordinate and manage expenses and credit card statements.

- Strong attention to detail and accuracy, which will contribute to the integrity of our records
- You'll be handling multiple tasks and deadlines, so exceptional organizational and time management skills are essential
- Collaboration is key in our team, and your ability to communicate effectively with team members and external contacts will contribute to our success
- Proactivity and initiative in reporting challenges and seeking support are also essential to success in this role
- Your previous experience in administrative roles will provide a solid foundation for this position
- Experience in bookkeeping and familiarity with accounting software (ideally Xero but not essential)
