**We are currently looking for A PART TIME RECEPTIONIST**

To provide a professional & welcoming front of house service to the business
whilst maintaining the reception area as well as all ground floor meeting rooms & the kitchens.

In a nutshell, you will be busy.
- Upkeep of a professional Reception area, including visitor seating, kitchen & desk
- Professional telephone manner and face to face interaction
- Provide efficient & high-quality admin services to employees
- Ensuring H&S procedures are met by guests & accompanying employees
- Management of the ground floor meeting rooms
- Management of the PPE Cupboard
- Management of the upstairs and ground floor kitchen and supplies
- Organise, coordinate and deal with visitors in a friendly and professional manner
- Organise and deal with couriers and manage incoming and outgoing post successfully
- Successful professional interactions / working relationships with the team Maintaining all areas of reception & ground floor kitchen and keeping reception & kitchen area clean and tidy at all times
- Checking the upstairs kitchens and ensuring milk, tea, coffee and sugar is kept topped up as well as other household supplies
- Ensuring supplies of stationery are available
- Ensuring employees sign in and out when entering or leaving the building
- Answer internal and external telephone calls and connect them to the relevant people, take messages and passing them on where necessary
- In case of a fire drill take signing in sheet and visitors book for the fire wardens
- Add credit to franking machine and order new ribbons when required
- Ensuring that reception is adequately covered during periods of leave, including a thorough handover and accompanying information is given to anyone covering

VISITOR MANAGEMENT
- Preparing refreshments and lunches for visitors as required
- Managing the PPE cupboard and ensuring that all visitors PPE is ready on arrival as requested
- Ensuring the Visitor Badges and H&S Questionnaires are ready on arrival and appropriately completed
- Ensuring that any other requests/requirements are dealt with quickly, professionally and efficiently
- Providing Contractors with Mitrefinch temporary passes where necessary
- Booking a parking for visitors

GROUND FLOOR MEETING ROOM MANAGEMENT
- Checks of the Ground Floor meeting rooms to make sure they are clean and ready for use.
- Checks of meetings rooms after use to ensure they are left in a clean and tidy state
- Management of the Ground Floor meeting room bookings

CORE BUSINESS RESPONSIBILITIES
- Sort and distribute all internal and external mail received daily
- Frank and send out all mail
- Book couriers
- Distribute parcels which come in by courier
- Book meeting rooms
- Order and distribute stationary when it arrives
- Any general shopping requirements needed
- Deal with Concur Expenses on any purchases made Printing & binding company presentations
- Assist with drop-in recruitment and direct to the correct personnel

HR SERVICES
- Assisting with all aspects of new starter inductions, photos, badges and adding photos to Mitrefinch System

FINANCE SERVICES
- Scanning invoices from post over to Finance Team

- For this role it would be really great if you have;
- Receptionist/Front of House Admin experience
- IT Literate — High level of IT literacy with extensive working knowledge of Microsoft, Office Word, Excel, Powerpoint, publisher
