**About the Role**:
Manor Farm Medical Centre in Swaffham are looking for an enthusiastic, motivated person to work as part of our busy reception team on a part time basis for 32 hours per week covering Monday am, Wednesday and Thursday & Friday pm. Our reception team is integral to the smooth running of our medical practice, providing high quality and patient focused care.

The main role of the position is to be responsible for the leadership and supervision of an enthusiastic team of receptionists, ensuring all reception duties are performed effectively and to the required standard, meeting the objectives of the practice. Support the management team in promoting equality, diversity and inclusion, safety, health environment and fire, quality and continuous improvement, confidentiality, collaborative working, service delivery, learning and development.

Main duties of the job: The senior receptionist would be responsible for supervising and supporting our reception team ensuring they achieve their primary responsibilities. The role would also include:

- Maintaining and monitoring the practice appointment system.
- Managing all queries as necessary in an efficient manner.
- Carrying out system searches as requested.
- Monitoring and maintaining the reception area and notice boards.
- Supporting all clinical staff with general tasks as requested.
- Maintaining all reception protocols.

Job responsibilities:
The senior receptionist is responsible for supervising and supporting the reception team, ensuring they achieve their primary responsibilities:

- Maintain and monitor the practice appointment system
- Process personal, telephone and e-requests for appointments
- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
- Signpost patients to the correct service
- Initiate contact with and responding to, requests from patients, team members and external agencies
- Read code data on EmisWeb
- Photocopy documentation as required
- Data entry of new and temporary registrations and relevant patient information as required
- Input data into the patient's healthcare records as necessary
- Direct requests for information ie SAR, insurance/solicitors letters and DVLA forms to the administrative team
- Manager all queries as necessary in an efficient manner
- Carry out system searches as requested
- Maintain a clean, tidy, effective working area at all times
- Monitor and maintain the reception area and notice boards
- Support all clinical staff with general tasks as requested
- Responsible for reception policies and procedures

In addition to the primary responsibilities, the senior receptionist may be requested to:

- Partake in audit as directed by the audit lead
- Providing reception staff to support administrative staff during periods of staff absence
- Produce, maintain and participate in the receptionist rota for lunch and out of hours cover
- Deputise for the reception manager during periods of absence
- Support reception staff development, providing guidance and direction, ensuring staff are up to date with mandatory training
- Identify and provide team training where required
- Support the reception manager in producing and maintaining the duty rota, completing opening and closing procedures in accordance with practice policy
- Support the practice manager with all patient participation group related matters
- Support the health promotion lead and display promotional material on the allocated notice boards and in the waiting room.

Essential:

- Educated to GCSE level or equivalent. A to C in English and Maths
- Excellent communication skills (written and oral)
- Strong IT skills
- Clear, polite telephone manner
- Competent in the use of Office and Outlook
- Effective time management (planning and organising)
- Ability to work as a team member and autonomously
- Good interpersonal skills
- Problem solving and analytical skills

- Motivated

Desirable:

- GCSE Mathematics and English (C or above)
- AMSPAR Receptionists Qualification
- NVQ Level 2 in Health and Social Care
- EMIS user skills

**About Us**:
Manor Farm Medical Centre is situated in a busy market town with approximately 7600 patients serviced by our main site and a branch surgery at Necton. We have 3 GP partners, 1 salaried GP, an ANP, GP matron team, a team of practice nurses and HCAs, receptionists, dispensers and administrators.

We are a forward thinking practice and endeavour to provide a comprehensive service, as well as being a teaching and research practice associated with the UEA and involved in the training of F2 doctors. We use EMIS Web and hold a 'Good' CQC rating.
