We have established successful and long-standing partnerships with local authorities, housing associations and homelessness charities, making us a leading provider within this sector. Currently, our portfolio comprises approx. 3,500 units and we are rapidlyexpanding as an organisation.
**Purpose of job**:
The employee will have experience of handling enquiries, dealing with local authorities and allocation of property. They will also need the ability to work under pressure and to strict deadlines. Also, necessary will be experience of working as part of ateam, excellent communication skills and experience of working with Microsoft Office packages and database systems.
**Availabilty**
- Daily Availability - update and send S&P Daily Availability Lists to all clients
- Check and confirm bookings which have taken place
- remove allocated properties from list
- add serviced properties onto list
- review voids and ensure all properties are added onto the correct lists
- update and inform councils
**Bookings**
- Answer incoming queries from clients, councils and service users
- Receive and update bookings as per client’s instructions
- Ensure property and furniture suitability
- Communicate instructions to housing
- Update the Company bespoke portals with all property/ council/ tenant/ maintenance information
- Receive, review and archive documentation. Ensure records are kept up to date. This includes all letters/ check-ins/ checkouts
- Initiate Bookings and Cancellations procedures (new paperwork)
- Mark properties as earmarked as requested
- Monitor progress of potential let
- Request update regarding status
**Inspections**
- Monitoring reports from housing officer
- Highlighting issues
- Identify abandoned units and taking necessary actions
- Ensuring any concerns are followed up
**Complaints**
- Issue relevant warning letters to service users
- Investigate complaints
- Liaise with Councils regarding any service user issues and discrepancies
- Manage all complaints from Clients/external parties or any written complaints
**Internal Communications**
- Collaborate with Housing Officer to arrange occupancy checks requested by council and provide report
- Send the relevant documentation as requested by Housing Officers
- Arranging inspections with Housing Officers (STS, Council visits)
**Skills & Knowledge required**
- Ability to identify and make assessments in respect of clients related to their housing needs
- Excellent interpersonal skills, with the ability to communicate effectively and maintain appropriate professional boundaries
- Ability to prioritise workload and work effectively in a high-pressured environment
- Close attention to detail
- A proficiency in the use of MS Office including Outlook, Word,
- Strong analytical and numerical skills
- Good practice and legislative knowledge relating to local authorities
- Strong team ethic, with the proven ability to work effectively and collaboratively within a team or independently with individuals at all levels
- Working on own initiative without close supervision and as part of a team
- Working flexibly in responding to the varying demands of the role in order to achieve agreed outcomes
- Experience with financial and general administration
