We are looking for great people who can help us redefine what's possible for our Capital Delivery team.
As part of our ‘Grow with Gatwick' initiative you'll be provided with the necessary development to ensure you're able to Grow with Gatwick.
The Construction Department comprises several programme and project teams, along with technical support functions and is accountable for the delivery of the airport CIP and strategic growth over the next 5 years, encompassing projects across the campus todeliver fit for purpose critical infrastructure.
**What is the role?**
Gatwick Airport is changing at an outstanding pace, and this is an exciting opportunity for a Document Controller to be part of a high performing team building Gatwick's future infrastructure.
The Document Controller will play an integral role in the Construction Team, providing a full range of document management services to the Project Delivery Teams, external design consultants and contractors, as well as supporting the Document Control Managerin maintaining and improving document control processes, procedures, and systems.
The Document Controller will follow approved document control procedures, and processes developed to support Project Delivery.
**What will you do?**
- Acting as a Gatekeeper for all internal and external project documentation held within the Electronic Document Management System (EDMS), managing the flow of documentation, storage and archiving according to company procedures, including undertaking thenecessary quality checks as per Gatwick Airport standards.
- Metadata management for all documents stored within the EDMS.
- Implementing and maintaining the project document review process to support project teams to enable effective and timely control of document reviews and responses.
- Assist in the production of accurate and timely reports, which provide up to date information for all key decision makers and stakeholders.
- Assist the project teams throughout the project stages to help ensure that projects are closed out effectively and handed over successfully from transition to business-as usual.
- Assist the Document Control Manager in the update and maintenance of all Document Control training and guidance material, as well as EDMS Administration tasks.
- Provide timely and effective support to project teams, external designers and contractors on the use of the EDMS and Portal to ensure that document management does not impede overall project delivery.
- Assist the Document Control Manager in the identification and implementation of opportunities to improve both the EDMS procedures and the system itself to reduce time and cost of using the system whilst maintaining quality.
- Take necessary and proper care to protect the confidentiality, integrity and availability of information from unauthorised disclosure, modification or destruction.
- Provide training for project members (including designers and contractors) in the use of the Gatwick Airport electronic document management system, maintaining a training log.
**Do you have what we are looking for?**
- Experience as a Document Controller with the use of EDMS (preferably Meridian, but not essential) within the construction project environment.
- Experience in a Quality Management System (QMS) & Document Control System environment.
- Knowledge of Microsoft Office software, especially Excel.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality around sensitive information and terms of agreement.
- Ability to build and maintain excellent stakeholder relationships, including relationships with external stakeholders.
