We are working with our client in Tidworth who are looking for an experienced Administration Assistant who will be responsible for developing, implementing and operating document control processes focussed on supporting business need, providing administrativesupport to the team.

Key responsibilities:

- Manage the registration, distribution and production of documentation, correspondence and presentations by preparing standard responses and circulations when appropriate
- Co-ordinate arrangements and produce minutes as necessary for several meetings
- Provide administration support to the Change Team, filing and acknowledging submissions, updating file records, arranging distribution of reports
- Provide admin support to all team members, initially based around data acquisition and filing
- Support activities relating to ISO 9001 and 14001 accreditations including conducting internal audits
- Coordinate stationery requirements (maintaining stocks and keeping the machines operational) and manage the budget in conjunction with the Office Manager
- Raise requisitions and maintain internal records of equipment holdings
- Represents the company at the Facilities Forum, reporting and following up on issues, and acts as the central point of contact for company fault reporting
- Establish and develop effective working relationships at all levels with both internal and external stakeholders
- Take a proactive approach to day to day issues arising in the absence of the Office Manager and Directors’ PA
- Renewal of copyright licences and newspaper subscriptions
- Updating of the media contacts database
- Updating the SharePoint page
- First Aider and Fire Warden for the team
- Undertake activities as requested to support the team

Qualifications: Essential:

- 5 GCSE Grade C passes or equivalent (to include Maths and English)

**Experience**:
Essential:

- Proven document control experience in hands-on operation of a document

control function
- Proven experience in office administration environment
- Production of minutes

Desirable
- Experience in a technical office environment
- ISO 9001 and ISO 14001 preparation and internal auditing
