You will be working closely with a large number of stakeholders and will often deal with sensitive information; therefore a clear awareness of confidentiality is essential.
The post holder must have competent IT skills, an excellent telephone manner, be able to work well under pressure, handle difficult situations effectively and be able to organise and prioritise their workload independently.
This role is primarily based on site at Harrogate Hospital with temporary opportunities to work from home for 1 day a week, where possible, once fully trained.
The role of the Recruitment Admin Assistant is varied and the postholder will primarily manage their own workload which will include using our recruitment system 'Trac' from an employers capacity, obtaining pre-employment checks for new starters and setting start dates, along with answering queries and acting as a regular point of contact and a reliable source of information and support for a range of customers.
The Recruitment Team provide a vital function to the Trust and are responsible for carrying out the full Recruitment process of staff, from advertising vacancies on NHS jobs to issuing contracts and booking new starters onto induction, in line with NHS Employment Guidelines.
The team provide advice to Recruiting Managers and applicants on all aspects of recruitment and are fully responsible for carrying out all pre-employment checks for new and existing staff in a safe and timely manner. The team support all Directorates within the Trust with their recruitment campaigns and provide advice and training where necessary.
- Provide administrative support to the recruitment and selection process including inputting data into the appropriate systems, carrying out pre-employment checks, creating employment offer documentation and making induction bookings.
- Ensure data is accurately entered into Trac recruitment system to facilitate interface with the Trust’s Electronic Staffing Record recruitment module (HR database) and therefore for equal opportunities monitoring data to be produced.
- Inputting data and managing employment records on Trac Recruitment System and Trust’s ESR System.
- Ensure all essential pre-employment checks are completed in a timely manner and within appropriate deadlines, including references, right to work, ID checks, professional registration and qualifications checks, occupational health checks and Disclosure and Barring Service checks.
- Provide training to new members of the team (if/when appropriate).
- Act as first point of contact in the recruitment team for visitors and calls.
- Provide first line support and advice to recruiting managers and applicants at the Trust.
- Provide advice and support to managers with the shortlisting process on Trac and all other relevant aspects of recruitment.
- Ensures pre-employment checks are completed in line with the NHS Employment Check Standards, Trust Policies and legislative requirements for all grades of staff. Completes offer letters and contracts, arranges induction bookings and deals with any other requirements to ensure safe recruiting of staff.
- Maintain high standards and effective housekeeping of records and personal files, ensuring that electronic filing systems are accurate and up to date and that the relevant information is recorded on the relevant database. Also to ensure documentation is retained in line with national requirements and standards.
- Manage own inbox and workload effectively.
- May be asked on a voluntary basis to provide assistance with recruitment events during the working day or out of hours/on weekends.
- May be required to provide administrative support to neighbouring departments if required.
