Adult Learning Administrator

**Position Purpose**:
B-Skill are looking for an Administrator to provide an efficient support service to the Batley centre and the wider Adult learning team with responsibility to provide a comprehensive range of activities to support learner and course-centred administration including the validation and processing of data collected from a variety of sources.
**Principal Accountabilities and Responsibilities**
- **Duties includ**_**e**:
1. Provide Career, Education, Information, Advice to new learners as part of enrolment process
2. Timely and accurate completion of Learner enrolment paperwork to support the relevant and various funding processes.
3. Input and maintain timetables and course registers on relevant Learner Records Databases in an accurate and timely way to ensure a continual match between documentation and computerised records. To include (but not limited to):
4- Enrolment/Learner Agreement forms, fees
5. Checking the quality of paperwork such as enrolment forms from Learners and completion of remaining paperwork and registering new learners.
6. Handling all learner enrolment paperwork and scanning on to the system as required and ensuring all learner documents are checked and filed appropriately and securely.
7. Handling important identification documents such as passport, birth certificate, etc as part of the enrolment and induction process
8. Accurately input timetables and courses registers data as required, auditing and timely corrections to learner data to assist in the successful administration of Timetables and registers.
9. Undertake regular checks on the accuracy of learner information to identify and rectify any errors.
10. Have an effective role in the enrolment process, including dealing with enquiries from learners, advising on funding and course availability and collecting payments in accordance with procedures.
11. Track destination data across adult learning centres.
12. Liaise with Data, Audit and Compliance Lead to ensure accurate information is provided and input onto the Learner records system.
13. Support with the administration and preparation of learner exams and invigilation requirements.
14. Answer routine enquiries from staff, learners and the general public regarding course and enrolment information, working flexible hours where necessary.
15. Managing the post and incoming communication, and distributing requests or letters to relevant individuals to process in a timely manner.
18. Face to face interaction with learners and raising issues to the manager when needed.
19. Checks all learners paper work, dealing with day to day queries such as attendance check, note taking, helping with all lines of information relating to administration.
21. Provide outstanding customer service by attending selected marketing and on-site meet-and-greet events
23. Ordering and distribution of Stationery, PPE and other supplies for B-Skill.
24. Maintain confidentiality and respond to requests for information from external agencies with due regard to B-Skill policy and the requirements of GDPR.
25. Work with colleagues and departments to continuously improve our enrolment process.
26. To support in the general activities of the centre in order to cope with the work demands.
27. Any other duties will be commensurate with your skills, knowledge and experience that may be required to support the smooth running of the Audit & Compliance team
**Audit Responsibility** **- Optional additional responsibility assigned**
Working in guidance with funding requirements and ensuring all aspects of administration paperwork is audit compliant
Provide support to the Audit, Compliance & Data Lead when required from an audit perspective
**Additional Responsibilities**
