**Job Summary**
**Receptionists will**:
- Will strive to offer an outstanding service through demonstrating a professional and courteous manner
- Provide clear communication of information to patients/GP’s/staff
- Demonstrate consistency when responding to all queries and request for assistance from patients.
- Undertake a variety of duties to assist in the smooth running of the practice.
- An understanding, acceptance and adherence to the need for strict confidentiality. Duties and Responsibilities in line with Practice policies and procedures:
- Ensure that all telephone calls are answered efficiently and effectively as a priority.
- Book/cancel appointments
- Take messages accurately and pass on in a timely manner
- Organise home and AART visits requests, including printing out-patient summaries where necessary
- Deal with general enquiries and verbal complaints
- Accurately record actions in patients records
- Issuing of repeat prescriptions daily/and dealing with prescription enquiries to enable patients to collect prescriptions
- Provide test results to patients and record information given on patient records
- Organise translators, understanding the accessibility needs of patients
- Inform patients of relevant charges for private services-accept payment and issue receipts.
- Explain practice arrangement to new patients and those seeking temporary service.
- Action change of address notification.
- Promote practice online services encouraging patients to book appointments, order scripts online.
- Fully utilise EMIS WEB and other IT Systems
- Input and extract information from the practice system
- Ensure patients records are up to date with information e.g. smoking, ethnicity and contact details.
- Monitor and action tasks and workflows
- Co-ordinate with GP’s arranging medicals/private medicals
- Respond to the needs of GP’s and Nurses to ensure efficient clinics
- Open all incoming post ,ensuring it is date stamped and processed in a timely and efficient manner as possible
- Scan documents as required, ensuring that the scanned images can be read and retrieved
- Adding new patients correctly to patient list and follow the process for the deduction of patients that leave the practice list.
- Communicate effectively with the team to ensure policies and procedures are kept up to date
- Demonstrate duties to new or less experienced staff acting as a mentor
- Resolve job related issues, including patient documentation and help resolve minor problems, including dealing with queries via PCSE and other practices.
- Photocopying and replenish patient leaflets and forms in new patient packs
- Attend meetings when required
- To work safely at all times in accordance with legislation and practice policies and procedures
- Be flexible both in the availability and being able to cover for colleagues absent from work due to annual leave or sickness.

- Participate in Appraisal Process and complete Personal Development Plan
and discuss with Operations Manager **Potential to further develop this role with relevant training**

maintain and adhere to Practice Health and Safety Policies Undertake external training and attend courses as agreed with the OperationsManager **Comply and keep up to date with Information Governance guidelines andData Protection Act 2018 and GDPR.In addition to the above, the post holder will show respect and courtesy to patients and colleagues, maintain confidentiality of patient and other Practice information at all times. All members of staff may be asked to attend periodic Staff meetings, which may beheld outside their normal working hours. They may also be required to work extrahours covering for holidays and sickness. This may include Saturday mornings and possibly weekend work in future on a rota basis.
