Database Coordinator
This is a hybrid role, with a remote/ Macclesfield office split while training (first 6-12 months) before the role has a fully-remote work option.
Main duties include:
Proactively maintain different custom proprietary publication databases across 2 client companies, to consistently high quality
Maintain and manage a key customer publication management tool, initially under supervision.
Distribute publications via the tool for review and approval, and send reminders as required.
Proactively forward information from the tool to relevant contacts both internally and externally.
Sending review correspondence and reminders to authors and client reviewers
Responding to client queries related to the database
Proactively maintain databases across 2 client companies, to consistently high quality
Accurately adhering to detailed processes
Maintain and manage a key customer publication management tool, initially under supervision.
Accurately upload and download information regarding ongoing projects.
Ensure all relevant internal and external processes are adhered to.
Inform supervisor of any issues or problems relating to the database, and work towards resolving the problems in conjunction with other members.
- Distribute publications via the tool for review and approval, and send reminders as required.
- Maintain timelines for individual publications.
- Maintain distribution lists for various groups.
- Proactively forward information from the tool to relevant contacts both internally and externally.
- Attend status meetings.
- Maintain distribution lists for various groups.
- Ensure all relevant internal and external processes are adhered to.
- Generate reports regarding publication activities.
- Inform supervisor of any issues or problems relating to the database, and work towards resolving the problems in conjunction with other members.
Skills/knowledge required
- Thorough and excellent attention to detail
- Ability to multitask and prioritise tasks
- Previous experience in data administration is an advantage
- Ability to work as part of a team and on own initiative
- Willingness to perform a variety of tasks, including simple day-to-day tasks
- Good verbal and written communication skills.
- Experience of using MS Outlook, Excel and Word.
