As a Dental Lab Workflow and Marketing Assistant, you will be the first point of contact for our clients and play a vital role in the smooth operation of our lab. Your duties will include occasional managing of our front desk, supporting our lab technicians, and ensuring that our clients receive outstanding service. We are looking for a friendly, organized, and detail-oriented individual to join our team. You will also report to our Head of Marketing to assist in the promotion of the lab, through graphic design, social media and other campaigns.

Key Responsibilities:

- Greet and welcome guests as soon as they arrive at the lab with professionalism and a positive demeanor.
- Answer, screen, and forward incoming phone calls while providing information when needed.
- Book lab work in and out of our Lab tracking system (Greatlab-training provided)
- Receive and sort daily mail/deliveries/couriers and manage outgoing mail and deliveries.

Assist with invoicing, billing, and processing payments from clients.
- Packaging and handling fragile lab work
- Filing, Scanning and sorting paperwork
- Ordering Materials
- Create daily delivery lists for our drivers to follow
- Managing workflow within the lab, communicating with technicians to make sure work that is due to be delivered each day is ready to be dispatched.
- Support lab technicians and management with various administrative tasks as needed, such as data entry and inventory management.
- Handle customer inquiries and complaints with empathy and professionalism, providing solutions or escalating issues as appropriate.
- Report to the Head of Marketing to assist in any current projects needed for the lab's promotion.

Qualifications:

- Proficiency in Microsoft Office Suite and experience with office equipment (e.g., fax machines and printers).
- Strong communication skills (oral and written) and the ability to handle sensitive information confidentially.
- Excellent organizational skills with an ability to multitask and prioritize work.
- A friendly and positive attitude, with a commitment to providing excellent customer service.

**Job Type**: Part-time

Expected hours: No less than 16 per week
