Reporting to the Client Service Team Leaders, the primary aspect of this role involves dealing with a variety of tasks to support the Client Service Managers (CSM) and the wider team to ensure client orders are accurately and efficiently added to the Meridiansystem ready for scheduling.

**Key Activities - Document Production**
- Chase outstanding reports for all clients from the WIP report and escalate to the CSM’s where appropriate.
- Chase purchase orders from clients prior to order being scheduled.
- Ensure that accurate client and financial information is recorded on the Scheduling System, checking with the CSM for latest annual fee matrices.
- To note changes needed to client records/site details and update Client Meridian accordingly.
- To produce Excel spread sheets for internal and external use and disseminate information as appropriate.
- To support the production of weekly client reports.
- To produce documents as required within the role.
- To answer calls from the central telephone line in a professional manner, taking details and passing calls to the relevant person as appropriate.
- To undertake additional tasks and responsibilities as may be reasonably required.

**Key Activities - General**
- To deal with client enquiries in a positive manner presenting a professional image of the organisation at all times, solving queries or escalating as required.
- To attend internal and external meetings as required.
- To develop and maintain close working relationships with all teams within the organisation.
- Attend training as necessary for the role.
- To report IT issues as they arise.
- To put forward suggestions to improve IT systems.
- To demonstrate efficiency in planning, organisation and task management.
- To contribute to the company Employee Forum suggestions via the department representative.

**Essential Criteria**
- Excellent communication skills in writing and by telephone.
- Minimum 2 years experience in an administration role.
- Excellent IT skills, to include all Office products but specifically Excel and Word.
- Logical with the ability to remain calm under pressure.
- Experience of working with databases and IT-Systems.
- GCSEs (A-C) must include English;
