As part of ambitious growth plans, we are looking to recruit a Trainee Project Coordinator / Vessels Agent to join us specializing in supporting our teams and our clients with large cargoes and complex projects. The role is to support our projects management, the project vessels and port calls, organizing logistics and delivering our project on time and to budget. The role involves providing a diverse range of support to our project’s teams and external customers in project logistics services for everything from a pallet through to a full ship of equipment.

The role is in a fast-growing business; it requires a organised & enthusiastic person who has the drive to make a difference and the ambition to be part of our growth. As a core part of the team, you'll have different challenges throughout the day and opportunities to work in areas throughout the business, allowing you to make your own role and find your own challenges.

**The Role & Responsibilities**:
The key responsibilities for a Trainee Project Coordinator / Vessels Agent (full training provided) are:

- Project co-ordination, supporting & supervising our projects across the world - leading to project management if desired.
- Learn to perform Freight Forwarding activities to support our project. Which includes the preparation of customs and cargo paperwork for shipments by road, sea & air,
- Providing 24/7 Vessel agency support as part of an on-call rota across our vessels and close clients (1-3 vessels per month) which includes:

- Communicating with vessels, port authorities and suppliers to organise arrival / departure of vessels. Providing time sensitive & precise updates to clients, vessels, and port authorities.
- Completing reporting to HMRC, local border force teams & other authorities in line with local legislations.
- Assisting with crew change co-ordination, including organising travel and accommodation across the world - along with any other adhoc crewing matters.
- Assisting with procurement & delivery of ships spares, bunkers and stores.
- Compiling & calculating estimated costs, raising quotes, and then assisting with final billing - working closely with the accounts team ensuring that supplier invoices match against agreed rates.
- Manging & controlling Resources, Equipment and Stores to ensure equipment is delivered for the project.
- Be involved with procurement & sourcing of spares & consumables, vehicles, transport, and cranes.
- Learn to secure and engineer sea fastenings for projects.
- Learn and gain skills across other Harlyn services.
- Supporting the needs of our project in the office and onsite both in the UK and worldwide
- In addition to a standard 40 Hours working week there will also be a requirement to undertake work outside of normal working hours on a rota basis in line with the business’ needs.

**Requirements and experience**
- Strong organisational skills
- Strong communication skills
- Strong IT skills including Microsoft Excel
- Willingness to Learn
- Willingness to work both as part of a team and alone.
- Willingness to deal with multiple clients and projects simultaneously.
- Innovative and proactive in nature
- Interest in the marine & offshore sector
- Full UK Driving license.
- Experience working on multiple projects at one time.
- Experience working under pressure and working towards strict deadlines.
- Previous experience as a ship's agent or freight forwarder (not essential - as full training provided)
