**Location**:
Our UK headquarters is based in Poole on the Dorset coast with its bustling quay, some of the best beaches in the UK and a stunning natural harbour. There is easy access to the Dorset countryside, the New Forest and the spectacular Jurassic Coast. Our main office is 1 mile from Poole railway station with good public transport links and close to both Bournemouth and Southampton international airports.
**Responsibilities**:
**As a Facilities Co-ordinator, you'll need to**:
- Prepare documents to put out tenders for contractors
- Project manage, supervise and coordinate the work of contractors, ensuring maximum value for money for all required goods and services
- Check that agreed work by staff or contractors has been completed satisfactorily and follow up on any deficiencies
- Direct, coordinate and plan essential services such as security, maintenance, cleaning, catering, waste disposal and recycling
- Management of tickets raised on QR code system for reporting observations and improvements
- Respond appropriately to emergencies or urgent issues as they arise and deal with the consequences
- Support the QHSE Manager in the management of Health and Safety, ensuring buildings meet health and safety requirements and that facilities comply with legislation, keeping staff safe and maintaining ISO 45001 certification. Perform monthly Health and Safety audits and weekly fire checks
- Management of First Aiders and Fire Marshalls
- Support the QHSE Manager in managing environmental issues and maintaining ISO 14001 certification. Monitor energy usage and initiatives to reduce carbon footprint
- Assist in the preparation and hosting of external assessments from Flowbird’s registration bodies.
- Conduct internal audits in accordance with the agreed annual internal audit programme to cover all management systems and those activity areas identified in quality plans.
- Manage Permits to work
- Use performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement
- Plan for future development in line with strategic business objectives
- Manage and lead change to ensure minimum disruption to core activities
**Key skills**:
**You'll need to demonstrate**:
- Ability to develop and build relationships with strong interpersonal, relationship-building and networking skills
- Excellent communications skills and tact are essential features of the job.
- Proven organisational and managerial skills, with attention to detail are essential.
- Ability to prepare written documentation such as reports, operational procedures, training materials etc.

- Excellent time management skills

- Good IT skills and experience in using Microsoft Office, in particular Excel and Word. Knowledge of Google and Google mail (advantageous)
**Experience required**:
- Experience in facilities and/or contractor management
- Knowledge of ISO 9001, 14001, 27001 and 45001 desirable but not essential
