**Delkia is a specialist Systems Integrator (SI) operating throughout the UK and Internationally for safety-related and mission-critical systems in highly regulated sectors, including Nuclear, Aerospace, Maritime and Defence.**

**We have an exciting opportunity to appoint a highly motivated executive Assistant to join our dynamic team at Delkia.**

**Overview of the role**

We are looking for a calm and patient Executive Assistant to provide critical support to the CEO.

This is an excellent 1:1 opportunity; you will have daily interaction with internal colleagues and external contacts, you will be a proactive, excellent organiser and communicator with the ability to multi-task, and flexibility to work in this dynamic and ever-evolving environment. You will work well under pressure to meet tight deadlines with a positive and can-do attitude.

**Key responsibilities**
- Update CEO on key issues when they are out of the office and delegate actions where appropriate
- To provide comprehensive support to the CEO in all management, organisation and scheduling relating to diary management, personal availability, meeting agendas and travel bookings
- To take responsibility and ownership of deadline compliance for all direct reports, as well as management and maintenance of all important documentation for the executive team
- To act as a point of contact to internal and external stakeholders ensuring effective communication channels to the CEO
- Accountable for all travel arrangements and interfaces to personal affairs
- To be a central point of contact, communicating clearly to ensure that information is shared among the team
- This role will involve the handling of confidential information; therefore, a sustained high level of professionalism and discretion are essential attributes as is a confident, can-do attitude coupled with similar experience in a previous role
- To minute meetings, prepare agendas, distribute papers to agreed timescales and keep accurate records of attendance. Track the action points from meetings and following up through to completion
- Collating and submitting expenses
- Event planning and management
- Ability to deal with CEO personal as well as business matters
- Support CEO delivery to several business units and organisations

**Desired Qualifications / Prerequisites**
- Experience supporting a managing director / CEO or similar
- Educated to degree level or equivalent experience
- Excellent communication skills
- Able to manage complex and highly confidential information
- Strong secretarial skills, good spelling and grammar
- Provide positive challenge and robust prioritisation
- Demonstrate a high degree of personal organisation and self-management
- Excellent interpersonal and social skills. Able to operate with diplomacy, tact and empathy
- Proven relationship building
- Ability to prioritise, be proactive, think ahead, anticipate problems and provide solutions
- Excellent time management skills; able to manage conflicting priorities and unforeseen change
- Advanced knowledge of MS Office suite (Office 365), in particular Outlook, Word, Excel with working knowledge of PowerPoint
- Be willing to travel on business travel (mainly UK) but on occasion overseas
