**Job Title: Apprenticeship Coordinator**

**Temporary Full Time role**

**Purpose of the position**
- To be responsible for managing and supporting the administration of the MECT Construction Trades at Brompton Barracks, Chatham.
- To be responsible for liaising with MECT trades Troop management in order to manage, monitor and track Apprentices through their trade training to Unit destination
- To coordinate learning/progression events for MECT Apprentices, such as Functional Skills sessions, Professional Discussion support and One File training
- To ensure that supporting business systems, including One File system and Maytas updated and maintained accurately as required

**Key Tasks and Responsibilities**:

- Manage and support the administration of MECT Construction Apprentices at the Brompton Barracks, Chatham.
- Regular liaison and communication with MECT Construction Troop management to manage, monitor and track Apprentices through their trade training to Unit destination
- Coordinate learning/progression events for MECT Construction Apprentices, such as Functional Skills sessions, Professional Discussion support and One File training
- Prepare documentation relating to Ed Branch / ESFA funded learners
- Keep accurate records of learners’ start and end dates with the purpose of monitoring that the learners do not exceed their Funding Planned End Date
- Undertake learner Inductions to the Apprenticeship programmes, including interaction with the learners to complete the necessary paperwork, including but not exclusive to the learner ILR and the ILP
- Create and update Apprentice Personnel files and ensure Course files are in place
- Ensure Apprenticeship starts, achievements and leaver paperwork are processed in a timely manner and keeping accurate records (either electronic or paper based, depending on what is more appropriate)
- Ensure Maytas MIS system records are updated and maintained accurately as required
- Ensure One File system are updated and maintained accurately as required
- Undertake the formal/contractual Reviews with Apprentices ensuring that they are completed within the appropriate timescales as determined by Ed Branch / ESFA requirements
- Ensure learner feedback from Inductions and Reviews are recorded correctly, in a timely manner and feed into the quarterly Learner Feedback report required by the Authority
- Liaison with relevant stakeholders and individuals and establish and maintain excellent working relationships within the customer and staff communities, including Heads of Departments, Instructors, Assessors and Skills Coaches
- Ensure that all administration tasks relating to the coordination of Apprenticeship programmes are undertaken efficiently, effectively and in a timely manner
- Assist in the development and maintenance of systems and procedures for the administration and documentation of Apprenticeship programmes, ensuring that they meet the needs of the Authority, Awarding Bodies, IfATE and external funding agencies, including Ed Branch and the ESFA
- Manage Awarding Body registration and certification process, where required, adhering to timelines as indicated
- To undertake and assist with internal and external audits, inspections and self-assessment process as appropriate and to adhere the Company quality systems
- Attend and contribute to team and other operational meetings, as required and for the dissemination of information and sharing good practise

- To communicate honestly with your Line Manager
- To achieve deadlines/targets that have been set by your Line Manager.
- To be available to be appraised by your immediate Line Manager in a timely manner
- To communicate and liaise with all other departments, as required
