We are looking for a part-time Receptionist, for three days a week; Wednesday - Friday, to join our busy reception team in our Kingswood office.

Our centralised team of Receptionists take on all incoming enquiries and distribute these accordingly within the Firm whilst supporting Facilities and welcoming visitors to our offices. This role promises to be very varied and, at times, can be demanding, so the ability to work under pressure is essential.

The main purpose of the role is to greet all clients, visitors and staff in a courteous and professional manner, either face-to-face or via telephone, adhering to our reception service standards at all times.

You will:
+ Greet all visitors, staff and clients on entry to the premises.

+ Inform relevant staff member of the visitor’s arrival.

+ Ensure visitors sign in and out of the visitor’s book.

+ Answer calls promptly and professionally, and transfer them to the relevant department and taking short messages where necessary.

+ Ensure that the reception area, waiting area and meeting rooms are clean, tidy and presentable.

+ Ensure refreshments are stocked and ready for use.

+ Request and copy ID from new clients and scan them onto the system.

In addition to the above, this role holds some banking, postal and archiving responsibilities, such as:
+ Ensuring all monies received are recorded in the appropriate entry book and paid promptly.

+ Producing a posting slip for the monies, providing a copy for the file.

+ Being responsible for petty cash and ensuring appropriate records are maintained.

+ Ensuring outgoing cheques are printed on the correct account and a report is sent to our Accounts department following each cheque run.

+ Opening, dating and passing on incoming post and DX.

+ Recording hand deliveries and distributing accordingly.

+ Franking outgoing post and dispatching at the Post Office (unless collected).

+ Taking outgoing DX to the exchange (unless collected).

+ Ensuring all files and other documents are entered onto our operating system when closed and recorded on our storage operating system.

Training will be given on all the tasks that Receptionists are expected to carry out.

Audiotyping would be an advantage, but computer literacy is essential; you must have experience of Microsoft Office, including Word and Outlook.

Maths and English GCSE - Grade 4 minimum (or equivalent)
