The purpose of this position is to provide administrative support as a member of the client services team. This will underpin the accurate preparation of financial reports by Paraplanners and comprehensive advice given to clients by Financial Advisors.

**Duties**:
Provide daily administration support to Paraplanner and Advisors and maintain the Companys service levels.

Use company back-office systems to input and maintain accurate client records.

Set tasks/follow up actions and record any updates. Ensure accuracy and compliance on both internal and external systems.

Answer incoming telephone calls and taking the initiative to deal with client and provider enquiries.

Ensure that all business documentation, supporting documentation, workflow and tasks are processed accurately and efficiently within agreed timescales.

Produce client Invoices.

Accurately upload commission expectations into the back-office system.

Communicate effectively with clients, product providers, and colleagues.

Liaise with product providers to ensure timely and accurate responses to clients.

Send letters of authority and gather accurate information.

Maintain client investments and produce accurate reports and valuations for advisers.

Produce statements to clients in accordance with their service agreement.

Check all policies and other information when received and deal with any queries.

Ensure product knowledge is up to date and notify the Company of any ongoing product, software, or procedural training required.

**Person Specification**:
Xplan knowledge & Financial Services experience is an advantage.

Demonstrate ability to accurately execute processes and document controls.

Good knowledge of Microsoft 365 programmes

Good organisation skills, with an ability to prioritise workload and meet deadlines.

Excellent verbal and written communication skills

Excellent team player.

Develop and maintain systems and procedures which improve the efficiency of client case preparation and submission.
