We have an exciting opportunity to join LPM Restaurant & Bar in the heart of Mayfair. We’re looking for a friendly and dedicated Office Administrator to be part of our growing LPM family.

**Duties and Responsibilities**:
**ADMINISTRATION**
- Consolidate and liaise with freight forwarders for art pieces and other items to different LPM locations worldwide.
- Preparing Pro-Forma invoices and airwaybill
- Ordering and liaising with suppliers for special items such as leather wine list covers and bill presenters or Silver Buckets
- Ordering stationary for the restaurant and office
- Keeping track on maintenance issues, following up and liaising with handyman and suppliers
- Supporting Global Marketing team with updating the website as required
- Supporting the Global Marketing team with updating Tripadvisor and Google Business when required
- Looking after all office equipment and arranging maintenance when needed
- Liaising with building management for any maintenance needed e.g., air conditioning and cleaning
- Providing accounting payable department with monthly invoice reconciliations and invoices
- Monitor, review and renew contracts on expiry (with approval from GM/Head Chef) or relevant person
- Monitor and follow up on legal aspects for the business e.g., local council (Westminster), Licences, premises licence and others as and when required
- Laise with landlords on any concerns with the lease and rent payments
- Set up new supplier trade agreements once authorised by the GM or Head Chef
- Store, file, retrieve and manage all signed legal documents and contractual documentations
- Support HR team with ad-hoc duties e.g. entering kitchen working hours and rotas

**COMMUNICATION**
- To attend team meetings actively
- To efficiently communicate and report to relevant supervisors and co-workers in a transparent way

**FINANCE**
- Laise with GM and Heads of Departments on invoice approval
- Monthly Credit Card statement reconciliation
- Provide support with cash banking
- Support the kitchen team with inputting daily invoices.
- Support on invoice reconciliation with the finance team

**PURCHASING**
- Purchasing of BOH and FOH equipment’s on approval from GM or Head Chef
- Laise with the team on cost of purchase and budget
- Work in accruals fir large purchases. Future large expenditures
- Support other LPM locations on procurement and shipment across sites

**SAFETY MANAGEMENT**
- Health and Safety administration
- Follow up on Food safety administration
- Intruder Alarm maintenance follow up
- Fire Alarm maintenance follow up

**OTHER**
- To maintain training and communication platform for all LPM colleagues
- To have a positive, direct and open relationship with all colleagues by regularly speaking to them to keep them engaged
- To treat company property with due care and attention
- To support other team members
- To attend meetings / training sessions as required by the management team
- To respond quickly and positively to changes within their job role, showing flexibility
- To ensure computer drive access is up to date
- To attend management meetings as deem required
- To regularly speak to colleagues on a positive note and keep them engaged
- Perform any ADHOC duties LPM Management may require
