A forward-thinking company with a strong culture and values, we require a dynamic and enthusiastic experienced full time, permanent Senior Office Administrator to join our growing construction and facilities management business.

Working as part of our growing team and reporting to the Directors, the successful Office Administrator will be able to demonstrate the necessary skills and knowledge to fulfil the role in a thorough manner and possess a high level of attention to detail.

The position would suit a hardworking and committed individual who's looking to progress their career within a forward thinking and expanding company.

**Key Responsibilities**:
**General Office Duties**:

- First point of contact for business enquires.
- Welcome new starters to the team and assisting with company inductions.
- Monitor office stationary levels and place orders as required.
- Review employee holiday requests and obtain line manager / director approval.
- Arrange DBS checks for new employees.
- Monitor PPE stock levels and place orders as required.
- Order staff uniform and maintain the staff uniform register.
- Assist the directors with the business insurance requirements.
- Organise team building and company social events.
- Assist the H&S Manager with obtaining / renewing company accreditations.
- Order new IT equipment for any new starters.
- Taking meeting minutes when required.

**Preconstruction**:

- Create tender folders and electronically file all tender documents.
- Send out meeting invites for tender settlement meetings.
- Assist the estimator by chasing subcontract quotations and logging on Procore.
- Updating the Sales Tracker with wins / losses and client feedback.

**Construction**:

- Create contract files on the server and transfer all necessary documents.
- Upload documents to Procore for use by the site team.
- Add the delivery teams details to the Procore directory.
- Issue drawings to site teams.
- Prepare letters informing neighbours of intended works for review by the Contracts Manager.
- Issue Pre Qualification Questionnaires to any new subcontractors, review responses and carry out credit and reference checks.
- Communicate with the site team to ensure they are working to the latest document / drawing revisions.
- Upload all new drawing revisions to Procore.
- Provide administration support to the Site Managers as and when required.
- Take minutes at the fortnightly contract review meetings.
- Receive hard copy site files from the Site Manager and scan information on to the server.

**Skills and Experience**:

- Administrative experience, at least 5 years.
- Ability to work conscientiously with a high level of concentration and follow company processes.
- A keen eye for detail, quality and accuracy.
- Demonstrate professionalism at all times.
- Ability to multi-task and prioritise workloads to meet deadlines.
- Trustworthy, reliable and highly organised.
- Proactive and flexible approach to work, with a willingness to undertake all tasks required of the role.
- Adapting to changes in procedures where applicable and being happy to step outside the specific job description role if and when required.
- Self-motivated and adaptable.
- Excellent IT literacy, including Excel.
- High quality communication skills, both verbal and written.
- Team player, who strives for excellence with a positive ‘can do’ attitude.

**Benefits**:
