**About this role**:
This is a key role at Your Voice Counts, designed to provide administrative support to keep the organisation, services and groups running smoothly. In your role, you will provide a wide range of support, working with our Advocacy, Communities, and Senior Management Teams as well as our Board. You will join a small team that are the first point of contact for our diverse client base and complete a range of administrative tasks to help Your Voice Counts further our work with vulnerable people.

**Main Responsibilities**:
2. To report on, update and monitor data

3. To provide project specific administrative support to our Communities Team, including

a. Processing client contact forms

b. Updating risk information on our database (CharityLog)

c. Updating activities timetables

d. Producing documents and information in Easy Read (training will be provided)

4. To provide project specific administrative support to our Advocacy Team, including

a. Processing statutory and case advocacy referrals

b. Liaising with professionals to ensure complete and accurate information is captured.

c. Supporting the internal allocation of cases to advocates including RPR (Relevant Person’s Representative) referrals

d. Monitoring Deprivation of Liberty Safeguards (DoLS) expiry dates, seeking updates where expiry dates have passed.

e. Providing administrative support to our NHS ICA (Independent Complaints Advocacy) service.

f. Organising Care and Treatment Review meetings (CTRs) and completing associated administrative tasks.

5. To create surveys and collate findings.

6. To provide administrative support and minute taking for team, board and committee meetings.

7. To contribute to process development and continual improvement within the Administration Team.

8. To support staff recruitment, induction and maintenance of staff records.

9. To support annual leave recording and management.

10. Operations support including equipment monitoring and basic building maintenance and coordination.

11. To support staff with IT and equipment queries, escalating where appropriate.

12. To take part in some client-facing work, this may include supporting our drop-ins or self-advocacy groups, or our admin volunteers with learning disabilities.

13. To complete any other office administrative tasks (e.g. uploading documents, printing, scanning, photocopying, processing post, typing letters, arranging travel) as required

This is not an exhaustive list of duties, and you will be expected to undertake other duties commensurate with the duties of the post as may be reasonably directed and/or as necessitated by your changing role within the organisation and the overall business objectives of the organisation.
