**JOB TITLE**: Junior HR Administrator

**LOCATION**: Giggleswick School

**RESPONSIBLE TO**: Deputy Bursar & Head of HR

**HOURS OF WORK**: Full Time. 35 hours per week Monday - Friday, 52-week contract

**SALARY**: Grade A.2 Point 7 - 9 £22,436.96 - £23,807.28 per annum (depending upon experience).

**ANNUAL LEAVE**: 25 days holiday, plus 8 public bank holidays per annum

**JOB PURPOSE**

To provide administrative support to the Deputy Bursar & Head of Human Resources and HR Department

A key part of this role is to co-ordinate staff recruitment and associated Safer Recruitment administration

To provide effective administration of personnel records

**MAIN DUTIES**

**1. Recruitment and Selection**
- Ensure that the HR service complies with Safer Recruitment practices and compliance including DBS checks, references, ID checks including right to work in the UK and teachers checks and any other required checks.
- To be responsible for DBS checks for starters and registration onto the DBS Update Service.
- Preparation of new staff files prior to the new employee commencing, liaising the appropriate people to arrange the Safeguarding Induction
- Ensure that appropriate paperwork is received from all Contractor and Suppliers

**2. Administration duties**
- Administration of the staff probation period process, alerts, and letters.
- Support the administration of the Annual Appraisal process
- Manage eligible staff membership of the Simply Health Scheme
- Day to day administration of the online staff training, currently via Educare and BoxPhish
- Administration to support the onboarding process for new starters
- Administration to facilitate the staff leaver process
- Absence Management Administration, including Sickness, Maternity and Paternity Leave.
- Ordering of Staff Name Badges
- General support to the Deputy Bursar & Head of HR and wider Bursary Team as required.

**3. HR Database and Reporting**
- Support in the inputting and maintenance of the School’s Single Central Register (SCR)
- Ensure the HR database, iSAMS, accurately reflects current staff details. This includes inputting starters and leavers, contractual amendments, change of details, annual leave and recording of sicknesses and other leave, in accordance with employment law and the Data Protection Act (GDPR)
- Collation and monitoring of Probationary Review forms, Safeguarding and Induction training.
- Assisting where required in updating the weekly Key Performance Indicator Report (KPI) for the Senior Leadership Team.

**4. Advice and Guidance**

To form effective working relationships with staff and line management alike ensuring high levels of customer service.
- Assist in the administration and note taking for formal meetings such as employee investigations, disciplinary meetings and grievances
- Support the Deputy Bursar & Head of Human Resources in updating of policy and procedures.

- Be fully knowledgeable of the Health and Safety regulations in the area of responsibility.

- This job description may be amended at any time following discussion between the Bursar, Deputy Bursar & Head of Human Resources and member of staff and will be reviewed annually.

**Probation Period**

The first six months of employment will be probationary. The probationary period may be extended at the School’s discretion.
