Lettings Co-ordinator

My client is looking for a Lettings Co-ordinator to work for a Company based in Barrow-in-Furness. This role is a Full-time Permanent position, and it will be working 38 hours per week
- it is typically Monday-Friday, but you will be expected to work one in four Saturday mornings 9am-1pm.
**Salary**: £22605 per annum + Yearly bonus (target related)
- £24,322
Purpose of the Position:
To negotiate lettings on properties, promote all aspects of the companies services and to help with the smooth running of the Lettings Department to ensure an efficient and high standard of client service.

Applicant Contact
- To register clients who are interested in renting a property on software, taking full details and contacting regularly to update the information given and promote Financial Services and other services at every opportunity. Contacting them to arrange viewings on a regular basis, liaising with office diary when accompanied. Also obtaining feedback on all properties viewed and recommending other properties if those viewed are not suitable
Vendor Contact
- To make Rental appraisal appointments and initiate vendors as soon as property is marketed to check all details. Send out mail shots on the property. Maintain regular contact and provide feedback on all viewings in a friendly and professional manner. Visit properties as required to assist with marketing.
Tenancies
- Once a tenancy is arranged ensure that all tenant / Landlord queries and issues are dealt with efficiently and ongoing maintenance problems are addressed. Attend properties to carry out routine inspections and report back to Landlord accordingly. Diarise and action Ongoing property checks and maintenance issues and issue notices in accordance with the legislation to ensure that Landlord wishes can be met i.e Rent arrears, notices to repossess etc.
Administration
- To ensure rental property details are kept up to date on Software, Branch displays and the internet
- To check and process invoices for payment - Lease guard & Sign works.
- To oversee administrative procedures within the lettings department to ensure that lettings audits are passed and action points raised via the audit and other correspondence from the Operations Manager.
- To liaise with the Senior lettings co-ordinator’s to discuss ongoing problems, concerns, achievement of targets etc within the lettings department.
Sales
Gaining Sales Leads
- To work towards set monthly targets to ensure that the team target is achieved Looking for opportunities to promote our free rental appraisal service and promote Poole Townsend as a lettings service Wherever possible identify opportunities for selling other legal services, i.e. wills and conveyancing.
Obtaining suitable tenants
- Match tenants to properties by using software / personal knowledge. Arrange viewings and obtain feedback. If suitable obtain referencing fee and close deal efficiently with the Landlord ensuring that tenant and landlord expectations are / can be met.
Accounts
- Book maintenance jobs on system and record invoices to ensure suppliers are paid by the accounts assistant.
- Ensure that invoices and receipts are processed correctly and that any errors are dealt with efficiently to ensure that the audit trail can be followed.
- Do daily accounts to ensure that rents are receipted, and landlords and suppliers are paid.
