Job Title: Admin Team Leader / QOF Co-Ordinator

Reporting Manager: Operations Manager

Responsible to: The Partners

Operations Manager

Business Manager

Hours of Work: 37.0 hours per week

Place of work: Grove House Surgery

Purpose of work: To Manage the Admin Team and oversee workload within the Admin Department / assist in the effective administration of QOF / IIF and Admin work of Grove House Surgery.

**MAJOR DUTIES**

**Leadership**
- Managing the Admin and Prescription Team on workload to be completed.
- Managing HR for the Admin Team including Leave, Staff Training, Appraisals, liaising with the Operations Manager of any concerns.
- Chairing regular Admin Team Meetings and liaising with the Operations Manager of any requests/concerns.
- Carrying out staff Audits to maximise Team performance and problem solving where necessary.
- Effectively communicating problems to Team members in line with their job roles and holding performance reviews when necessary
- Supporting the Operations Manager on any Audits/Searches or claims required.
- Reviewing staff sickness, completing return to work interviews and sickness reviews if required.
- Carrying out such duties from time to time, which may be required by Management and the Partners.
- Recruitment and interviewing for new staff with Operations manager

**Administration**

1. Co-ordinating QOF & IIF
- Managing regular QOF / IIF meetings with the Team to ensure targets are met.
- Running the yearly QOF / IIF submissions and ensuring accurate data between Systmone and CQRS
- Inputting information for QOF / IIF in line with the new GMS contract.
- Liaising with the Operations Manager with QOF / IIF work to do, problem solving and managing targets.
- Using the most suitable/appropriate invitations to invite patients whenever possible.
- Liaising with Clinicians for QOF / IIF issues, to resolve and achieve targets reviewing coding and achievement

**2. Audit work**:

- Auditing of performance against QOF / IIF criteria.
- Extracting data and running reports using our clinical system.
- Creating, running and acting on audits as required by members of the clinical or Management team.
- Data cleansing opportunistically.

**3. Patient Monitoring**:

- Child Immunisations and 6 week checks
- Pertussis in Pregnancy
- Vaccination Invites (Flu, shingle, pneumococcal etc.)
- Mental Health
- Lithium
- PSA invites
- NHS Health check invites
- MGUS/CLL Invites

**4. Admin Duties**
- Liaising with the Admin team on daily work targets, providing support and guidance to the Admin team with work demand on a daily basis.
- Overseeing the Processing of post / correspondence received, ensuring the Team are auctioning urgent requests (e.g. e-consults, deaths etc.), in a timely manner as stated by practice procedures, including electronic and paper items.
- Updating patient medical records data when required.

**5. Enhanced Services / CQRS**:

- Managing Monthly / Quarterly LCS, WSCC and CQRS Data Claims when required, liaising with the Operations Manager on data to be submitted.
- Managing PSA and CLL/MGUS data for each claim.

**6. Other Duties**:

- Assisting Management in carrying out such duties from time to time which may be required by the Partners.
- Assist other members of staff when necessary.

**Job Types**: Full-time, Permanent
