**Job Title**:Personal Assistant

OR
Queen Elizabeth The Queen Mother Hospital, Margate, CT9 4AN
Mon & Fri will need to be based in Margate
Tue & Thu will need to be based in Canterbury
Wednesday is flexible
You can then decide whether to be permanently based in Canterbury or Margate.
**Hours**:25 hours per week, Mon - Fri, 5 hours per day, flexible between 8am - 4pm

**What you’ll be responsible for**:
To provide a flexible resource to support teams in the provision of services. This includes organisation of your own and other senior team members work. The post will support the T & O with diary Management, event planning, administration of meetings including minute taking and data analysis and data input to maintain existing databases.
- Welcoming visitors in an appropriate manner.
- Acting as a point of contact for enquiries and complaints within the department, dealing with them accordingly and in line with trust policies
- Liaising with internal and external stakeholders on behalf of their manager, colleagues or members of their professional team.
- Working flexibly across the organisation, covering the work of colleagues during peak periods or absence
- Collecting, sorting and prioritising incoming mail, ensuring professional members of staff regularly deal with their mail. To provide professional and timely communication links between patients/ relatives and medical/ clinical staff to ensure channels of communication are efficient and effective at all times.
- Review the communication systems for staff, patients and /or external sources using appropriate communication tools
- Dissemination of all relevant information to departments, external and internal users (e.g. dissemination of minutes, memos) and obtain feedback, along with updates to all site staff
- Encourages open and honest feedback formally and informally from patients and service users.
- Coordinate meetings and events.
- Work in a person-centred way with all members of the healthcare team.
- Point of contact for Head of T & O Operations

2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
