**Job status**: Temporary - 6 weeks initially, may go longer

**Start date**: Immediate start

**Working hours**: Part Time - 3 days a week, 9-5pm. Can flex to spread hours throughout the week.

**Who You'll Be Working for**:
Market leading international paint business.

**What You'll be Doing Each Day**:

- Each day we receive a new batch of invoices (approx 10-20) related to our processed orders, and their corresponding delivery notes on an internal shared server.
- These invoices need to be copied onto our desktop and the delivery notes checked against the invoice and then merged.
- The merged invoices must be distributed amongst each salesperson, and a record kept of which dates have been claimed and sent to the salesperson pending their approval.
- Once the approval has been received, the person who sent the batch must then send the invoices out to the customers.
- Giving final checks before sending that the items, prices, references all look correct.
- If not sure, check with the salesperson first, and if necessary with the customer.
- The invoice must be sent to the correct recipient, this is of the utmost importance.
- After sending, keep records of which invoices you have sent in a folder on your desktop, and log the invoice numbers and dates sent into Mastersales.
- Once you claim a batch to merge and send to the salespeople, you must commit to that date for the entire invoicing process and ensure you have sent those invoices to the salespeople for checking, to the client and concluded by logging in Mastersales.
- Follow up liaison informing customers of any shortages, charges, pending arrangements
- Assisting the Credit Control Department / Sales Team as required with invoicing queries.

**The Skills You'll Need to Succeed**:

- Experience of working with invoicing.
- Previous order management or sales administration experience.
- Strong customer focus.
- Previous experience in a Japanese working environment would be a big plus.
- Numerate.
- Well organised.
