Purpose & Overall Relevance for the Organization:
- Assistant to VP Sales
Additional administrative support for the wider Sales Teams- Primary Responsibilities: Support VP Sales:
- Manage VP diary - coordinating a complex range of internal and external meetings, liaising with other assistants across the wider organisation to align on best availability
- Manage VP inbox to ensure all business and meeting requests are dealt with in a timely manner
- Preparation of confidential correspondence, powerpoint presentations and excel spreadsheets where required
- Responsible for all VP travel and accommodation, using your initiative to manage all T&E within budget guidelines
- Assist VP with expense submissions via Concur System, as well as managing approvals for team expenses & holidays
- Arrange and coordinate internal & external meetings (including VIP meetings) on behalf of the VP, ensuring all requirements are met. Incorporate best practice and cost effectiveness when searching for external venues
- Provide support with online tools
- Create and manage documents, e.g. yearly calendars
- Arrange key customer meetings, including twice yearly senior executive meetings, liaising with external stakeholders to align diaries. Book external meeting venue, travel and accommodation
- Attend meetings where required
- Secondary Responsibilities: Director Sales
- Support on travel & accommodation requests
- Manage diary - coordinating a wide variety of both internal and external meetings, liaising with other assistants across the wider organisation to align on best availability
- Arrange & coordinate internal and external meetings (including VIP meetings), ensuring all requirements are met. Incorporate best practice and cost effectiveness when searching external venues
- Assist with PowerPoint presentations where required.
- Collate information and update excel spread sheets for meetings and projects
- Provide support with online tools
- Manage twice yearly senior executive meetings, liaising with external stakeholders to align diaries - book external meeting venue, travel and accommodation
- Create and manage documents such as Team Calendars / Showroom Diary bookings
- Manage and book off site team meetings
- Secondary Responsibilities: Support planning & execution of Preline/CoVa Meetings for Key Accounts
- Create and manage an excel document to capture all attendees, flights, transportation and costings
- Book travel and accommodation for up to 80 attendees
- Arrange and manage multiple ground transportation requests
- Arrange restaurant bookings and in-house catering requests
- Attend regular planning meetings
- Liaise with 3rd party suppliers such as Act 3 and CIP Marketing
- Liaise with Meetings & Events team to secure hotels and meeting spaces where required, supply of rooming lists and arranging necessary payments
- Attend meetings when required
- Raise Purchase orders via Ariba System
- After any event in Germany (for tax reasons) complete BIK (Benefit in Kind) Document, ensuring all costings, PO/concur ID numbers for travel/catering/transport are captured
- Secondary Responsibilities: General Support Sales Teams
- Support on travel & accommodation requests from the team using initiative re costings/risks _- where workload allows_
- Complete new starter inductions plans with relevant colleagues/departments, help complete new starter forms, access to necessary systems/processes
- Help with onboarding new starters and teams
- Responsible for general housekeeping and reporting any office maintenance/health & safety issues to the Workplaces Team
- Manage team organisation charts, ensuring they are current
- Raise purchase orders via Ariba System
- Support with customer sell ins: room bookings, model bookings, catering requests etc.
- Manage and book accommodation and external meeting venues for customer sell-ins where relevant
- Provide general administrative duties including post, photocopying, laminating, binding, scanning, etc.

- Sales Teams including Directors/Senior Managers
- Assistant to MD Europe and Assistant to SVP/GM North
- Key customer contacts
- European Travel Centre
- Other assistants in the wider organisation
- Suppliers/3rd parties
- Workplaces Team
- Knowledge, Skills and Abilities:
- Good academic background
- Good knowledge of Office/PowerPoint/Word/Excel, office procedures, etc.
- Excellent organisational skills with the ability to use own initiative - some event management experience would be a plus
- Flexible approach and ability to work well under pressure and to tight deadlines
- Enthusiastic, with excellent interpersonal skills and the ability to communicate effectively at all levels
- Ability to display personal discretion, confidentiality, respect
- Negotiating skills
- Requisite Education and Experience / Minimum Qualifications:
- Proven experience in a similar environment/level
- English and Maths GCSE or equivalent
